Halton Equity Diversity Roundtable (HEDR) is seeking an external Design Consultant to develop
a framework for our Youth Mentorship Program. We invite you to submit a proposal for this
project, which has a duration of one year.
Background:
HEDR is a nonprofit organization dedicated to promoting equity, diversity, and inclusion within
the Halton Region community. Our Youth Mentorship Program aims to provide guidance,
support, and opportunities for personal and professional development to diverse youth in the
community. We are seeking a Design Consultant to develop a comprehensive framework for
this program.
Program Description:
Provide mentorship to 30 racialized youth living in Halton Region and recruit 30 racialized
mentors who will leverage their lived experiences to support emotional and mental wellbeing
of diverse youth who may be experiencing multiple barriers/challenges while enhancing
their sense of belonging to the community.
Scope of Work:
The selected consultant will be responsible for designing a framework for the Youth Mentorship.
Program. The scope of work includes the following key activities:
• Conducting a needs assessment to identify the program's goals, objectives, and target audience.
• Review existing mentorship program models and best practices in youth
development.
• Designing a comprehensive framework that includes program objectives, activities,
timelines, and evaluation strategies.
• Developing guidelines for recruiting mentors and mentees, matching them based on
interests and needs, and facilitating mentoring relationships.
• Assist the project coordinator in creating resources and tools to support
mentors and mentees throughout the program, such as handbooks, training materials,
and progress-tracking templates.
• Providing recommendations for program sustainability and scalability beyond the one-year
framework development period.
Deliverables:
The Design Consultant will be expected to deliver the following:
• A comprehensive framework for the Youth Mentorship Program, including program
objectives, activities, timelines, and evaluation strategies.
• Guidelines for mentor and mentee recruitment, matching, and relationship facilitation.
Proposal Submission:
Interested consultants should submit their proposals in electronic format (PDF or Word) to
Kenneth Melveettil at [email protected] no later than August 4, 2023. The
proposal should include the following:
• Consultant's understanding of the project requirements and objectives.
• Approach and methodology to be used for framework development.
• Consultant's relevant experience and qualifications in designing mentorship programs
for youth.
• Proposed timeline, including key milestones and deliverables.
• Budget breakdown, inclusive of all costs, expenses, and applicable taxes (HST).
• Contact details of at least three references from previous similar projects.
Timeline:
The proposed timeline for the project is as follows:
• Proposal Submission Deadline: August 4, 2023
• Design Consultant Selection: September 1, 2023
• Contract Negotiation and Signing: September 8, 2023
• Framework Development: September 2023 to March 2024
Budget:
The total budget available for this project, including all fees, expenses, and taxes (HST), is
$5,000 CAD.
Consultant Selection:
The selection of the Design Consultant will be based on the following criteria:
• Demonstrated experience in designing mentorship programs for youth.
• Expertise in program development, youth engagement, and mentoring best practices.
• Understanding of equity, diversity, and inclusion concepts and their application in youth
programs.
• Proven ability to create comprehensive and practical frameworks.
• Competitive pricing and value for money.
• Availability to commence the project within the specified timeline.
Confidentiality and Ownership of Deliverables:
All proposals and project-related documents submitted will be treated as confidential.
Ownership and intellectual property rights of the final curriculum and other deliverables will
reside with HEDR.
