Job Description

As the Condominium Manager Assistant, you will be providing clerical and administrative support to the lead Community Manager(s). You should be comfortable managing a variety of administrative tasks each day with a focus on providing timely customer service and producing detailed and accurate reports, correspondence, and results. You will provide service for internal customers and communicate with external vendors and clients on a regular basis.


Please note: This role is the first step towards moving into a Community Manager position. Our hope is that this individual will be motivated to eventually be licensed and promoted to a full Community Manager role.


Other Responsibilities include but are not limited to:


  • Sending mailouts by mail and/or electronically
  • Tracking parking & storage leasing
  • Processing cheque requests
  • Knowledge of communities, condominium and homeowners associations an asset
  • Knowledge of Microsoft Office products (Word, Excel, Outlook, etc.)
  • Creating notice of proposed sanction letters, sanction letters, and chargeback letters
  • Strong written and verbal communication skills
  • Updating owner/tenant information in C3 and filing documents in the unit files
  • Creating and maintaining multiple tracking spreadsheets
  • Time management and time critical prioritization skills
  • Filing all documentation related to a property in the correct folders (physical and/or electronic)
  • Self-motivated, proactive, detail oriented and a team player
  • Actively researching to find answers to clients’ questions and/or contacting internal subject matter experts for support in answering questions
  • Experience, or knowledge of Condominium Management would be a strong asset
  • Processing an owner/tenant purchase of fobs, garage remotes, and keys
  • Replying to owner and tenant questions and concerns when able
  • Professional customer service skills
  • Post-secondary education in Business Administration or equivalent is preferred
  • Booking and tracking moves including contacting the security company, if required
  • Creating and tracking work orders
  • Creating and distributing notices electronically
