Job Summary


The Compass Project Coordinator is responsible for supporting the development and implementation of the Faculty of Arts’ Arts Student Engagement Hub (https://www.arts.ubc.ca/student-support/compass/ ) which offers programming and resources to support undergraduate and graduate student professional development and student engagement initiatives through 6 pathways of programming, including the Arts Amplifier (https://amplifier.arts.ubc.ca/). This role is instrumental in the delivery of services intended to support students’ professional development and a culture of public scholarship, community engagement, and work-integrated and experiential learning.


The Compass is a welcoming community of Arts students, staff, faculty, and alumni that offers curated resources and student engagement and career programming to help students make the most of their Arts degrees. The Coordinator will support the Compass leadership and operations teams to plan and execute programming and manage the logistics for all events and programs with support from part-time student staff. This will include working with the Arts Communications team to develop and execute promotional campaigns through Arts social media channels and student facing publications, such as the Arts student newsletter, and in partnership with Arts departments and student groups.


To be successful in this role, the applicant must be driven to improve the Arts student experience and professional development opportunities and be a keen and able communicator and multitasker, able to juggle multiple, time-sensitive activities and build strong working relationships with multiple partners. The incumbent works both independently and in strong collaboration with the Compass leadership and operations teams and staff involved with the initiatives, including Arts alumni and employer organizations.


Organizational Status


The Compass Coordinator reports to Executive Director, Work Integrated Education and Career Initiatives in Arts, and also works closely with the Manager, Graduate Work Integrated Learning for tasks related to the Arts Amplifier. The incumbent will be a member of the Compass leadership and operations teams within the portfolio of the Associate Dean, Students, in the Faculty of Arts.


The incumbent will work independently with direction from the Executive Director, and with staff leaders of the 7 Compass programming pathways. Collaboration with colleagues in the Faculty of Arts and other university offices will be necessary on several projects.


Work Performed


  • Supervises Work Learn and co-op student staff. Provides support and guidance to student staff in the iterative development and delivery of programs and services that support Arts undergraduate and graduate students; facilitates semi-annual personal and professional reflection and goal setting conversations/activities with student staff.
  • Is the primary contact for Arts Communications on behalf of the Compass, and oversees Compass communication campaigns (via social media, other digital communication channels) and print communications executed by Arts Communications on behalf of the Compass. Develops content for the Compass web site, including pre and post event promotions and resources, and other digital and print communications.
  • Participates on other projects and committees as they evolve within the Faculty of Arts and perform other responsibilities as required.
  • Informs and shapes all aspects of the iterative development, implementation, delivery and evaluation of Compass supports and work-integrated learning placements. Integrate assessment of student learning and program outcomes to facilitate evidence-based decision-making. Develops and coordinates project management plans to meet priorities.
  • Oversees the administrative operations of the Compass including managing work processes, managing the budget, booking space, and resolving complex issues for students, employers, and other stakeholder groups. Manages program budget including program expenses, non-academic awards, co-op student funding, and forecasting. Provides monthly update on expenses to Executive Director and Manager, Graduate WIL programs. Disperses grant funding for student work experiences with support of Arts Co-op, Arts Finance, and/or Enrollment Services staff.
  • Collects data on student learning and program outcomes. Analyzes data for trends and outliers and iteratively develop evaluation processes. Prepares and presents evaluations for internal and external stakeholders, including preparing reports for external funders, communicating student and program outcomes.
  • Coordinates and implements student support Compass program pathways designed to support undergraduate and graduate student professional development, including both work-integrated learning and student-led projects. Responsibilities may include: marketing events and programs to students; maintaining and enhancing collaboration with internal and external partners, including faculty members, student leaders and Arts alumni; managing logistics; facilitating in-person and online meetings; developing action plans to achieve program targets and outcomes; advising employers and community partners as to options for work-integrated learning hiring; in partnership with the Arts Alumni team, recruiting alumni to contribute to programming; consulting with funders and off-campus partners for feedback; collecting and analyzing key progress indicators; conducting evaluation of programs and assessment of student learning; and making recommendations to improve programs and services for the future.
  • Participates in building and iteratively developing resources and program supports (both online and face to face) to support and enhance student engagement, identify gaps in the current provision of resources and program supports, and develop sustainable solutions, which may include the development and implementation of new programs and services. Supports student recruitment and engagement in this programming.


Consequence of Error/Judgement


Errors in judgment may cause serious results and identifiable deterioration to faculty and student relations; reduce services; cause embarrassment; increase event and program costs; and impact negatively the Faculty's reputation and accountability with organizations, students, faculty and staff. Decisions have an impact on the development of relationships both within the university and in external communities. Decisions affect the credibility of Compass programs and services, and hence the success of these initiatives university- and community- wide.


Supervision Received


Position is supervised by the Executive Director, Work Integrated Education and works closely with the Manager, Graduate WIL in the Faculty of Arts for programming related to the Arts Amplifier. The incumbent exercises resourcefulness in the coordination and delivery of programs. This position is expected to function within clearly articulated procedures, priorities, and strategic objectives. Work is reviewed for quality and effectiveness of results.


Supervision Given


Recruits, hires and supervises student staff in the coordination and delivery of student support programs and resources.


Minimum Qualifications


Undergraduate degree in a relevant discipline. Minimum of one to two years of related experience, or an equivalent combination of education and experience.

Preferred Qualifications


Master's degree is an asset. Experience working either professionally (preferred) or as a student in a post-secondary environment in student professional development, online and in-person program development or an equivalent combination of education, training, and experience.


Knowledge and experience in Arts student work-integrated learning and professional development is a key asset. Demonstrated ability to work collaboratively with a variety of different stakeholders. A highly motivated, organized, creative person with outstanding critical thinking skills. Proven ability to anticipate and prevent problems before they arise.


Ability to organize events, lead promotion activities, and coordinate and support student support programs. Project management experience is an asset. Excellent communication, both verbal and written, in addition to interpersonal and problem-solving skills. Ability to communicate well in a cross-cultural environment. Ability to plan ahead, anticipate problems, and meet deadlines efficiently. Knowledge of equity, diversity, and inclusion policies and best practices. Ability to work independently, to lead others and to function as an effective team member. Experience in evaluating projects and assessing learning is an asset. Experience in a Windows-based environment, good knowledge of Internet technologies and willingness to learn to use new systems. Although this work will be primarily during business hours, some evening or weekend work may be required.
