Position Summary


We are looking for a Client Service Associate, Estate Administrator with polished interpersonal skills to join our growing Client Services Team.

The role of a Client Service Associate, Estates Administrator is to provide expertise, guidance, and a high level of administrative support to our Advisory Team as they work with our clients who are going through estate settlements and marriage breakdowns.


In this role you will have the ability to make a meaningful impact with clients during a difficult time in their life. You will be responsible for managing the end-to-end workflow to facilitate a smooth and client-centric settlement process. This is an exciting time to join our growing and dynamic client services team with a focus on skills growth, teamwork, and career development.


This role will operate on a hybrid working model based in Toronto or Vancouver.


As a Client Service Associate, Estate Administrator, your main responsibilities will involve:


  • Enter changes or updates to client information into our CRM database.
  • Finalize tax receipts issued for settlement.
  • Collaborate with the reporting team to provide final statements.
  • Collaborate with Advisory Team to provide expertise and create a seamless client experience.
  • Utilize knowledge and expertise with estate settlement to identify opportunities for improvement to existing processes.
  • Review client holdings in investment accounts and determine requirements to settle estates and death claims or to distribute assets due to marriage breakdown.
  • Liaise with investment custodians and insurance carriers to disburse funds; preparing account applications, transfer documentation and other related forms when necessary.
  • Communicate with executors and clients directly to facilitate the execution of settlement.
  • Provide support and guidance to navigate the estate settlement process, proactively escalating where necessary to ensure strict adherence to SLAs.
  • Deliver a high level of end-to-end personalized client service.
As a Client Service Associate, Estates Administrator, your skills and qualifications will include:


  • Experience processing beneficiary changes and setting up POAs on client accounts.
  • Proficiency with MS Outlook, Excel, Word, PowerPoint and Teams and experience with a CRM database.
  • You must be legally eligible to work in Canada with a minimum of a valid work permit.
  • Exceptional attention to detail and accuracy.
  • A strong understanding of registered plans in relation to the estate settlement process.
  • Experience working independently, as well as in partnership with other team members.
  • Familiarity with industry and compliance regulations and ability to monitor and be aware of risk in terms of client confidentiality.
  • Strong organizational and time-management skills.
  • A self-starter with the ability to take initiative and think critically to seek out information and solutions independently.
  • Basic knowledge of common law in relation to estates and wills.
  • Superior customer service and relationship management skills.
  • An undergraduate degree or a related financial services designation is an asset.
  • A minimum of 5 years of related experience.
  • The ability to work in a dynamic and fast paced, entrepreneurial environment requiring strong organization, time management and prioritization skills with the confidence to adapt to change as necessary.
  • Excellent communication skills in English (both written and verbal).
  • STEP CETA course or willingness to enroll.
