Job Description
We are looking for a Client Service Assistant (CSA), Business Operational Services to deliver exceptional client service to both internal and external clients through high quality administrative support delivered in a timely and efficient manner.


We are looking for candidates who can effectively communicate over the phone, in a chat platform, and via email ensuring the client feels like they are always our top priority. A passion for client service and a willingness to go above and beyond are prerequisites for this role.

As a member of our Business Operational Services Team, you will play a key part by communicating in an open, helpful, and engaging tone to collect outstanding document requests and working with various teams to address client concerns in a high-volume professional environment.


Your primary responsibilities will include:


What you’ll do:


  • Respond to inbound cold calls, INFO-NS email requests, questions from existing clients, etc.
  • Cover reception desk (as dedicated back up) including greeting people, directing visitors to the appropriate person, answering and forwarding telephone calls, taking messages, and performing other administrative duties
  • Provide general information to staff, Partners, and clients
  • Prepare correspondence, reports, forms, presentations, Engagement Letters, and other documents
  • Perform other related duties, as assigned
  • Plan events and travel
  • Coordinate inflow of documents through scanning, saving, and distributing
  • Submit and assist with new client set up and shared mailbox/distribution list requests, as required
  • Submit receipts and expense reports to the Finance Department
  • Assemble outflow of packages to clients, following up on signatures and pick up
  • Accurately complete any data entry or information updates, as assigned
  • Arrange catering and peak season meals, as well as maintenance of meeting rooms, hotspots, and common areas during/after events
  • Access client information and status updates from CRA Rep a Client or by calling CRA directly
  • Scan, print, photocopy and collate documents for distribution, mailing, and filing
  • Sort, process and verify receipts, forms, and other documents
  • Send and receive messages and documents using mail, courier, digital signing software, fax machine, or electronic mail
  • Schedule meetings, preparing agendas and/or minutes, as requested
  • Sort and file documents according to established filing systems, locate and retrieve documents from files as requested and maintain records of filed and removed materials
  • Respond to telephone, in person or electronic enquiries or forward to appropriate person
  • Maintain inventory of office supplies including food and drink, order or pick up supplies as required
  • Process incoming and outgoing mail, manually or electronically
A successful candidate will have:

  • High school diploma or equivalent education required
  • Minimum of two (2) years relevant experience (office, call center, administrative assistant, supporting role, tax, or accounting firm, etc.)
  • Above-average attention to detail and organizational skills
  • Ability to work additional hours as required when business needs dictate
  • Provide timely, efficient, and professional responses to clients and other members of the Team
  • Willingness to go above and beyond to meet client expectations
  • Advanced MS Office skills, in particular Word, Outlook, Excel, and PowerPoint
  • Experience dealing with sensitive and confidential information
  • Expert ability to remain calm and communicate with professionalism in a fast-paced business environment with minimal supervision
  • Ability to excel in an at-times high pressure environment with tight deadlines
  • Action oriented mindset with a demonstrated ability to remain focused during times of high demand
  • Have a passion for assisting clients
  • Positive and professional customer service attitude
  • Handling inbound calls and secure messages
  • Experience in the accounting or tax industry would be a definite asset
  • Outstanding oral and written communication skills
