Detailed Overview
Reporting to the Manager, Patient Access & Community Transition and in accordance with the mission, values and goals of Fraser Health, the Clerk provides secretarial and clerical support to the Queen's Park Care Centre. In addition, the Clerk is responsible for the maintenance of resident trust accounts.
Responsibilities
  • Performs clerical duties such as answering routine questions, opening and distributing mail, data entry, filing, compiling documents, and delivering and picking up items. Maintains stationary and supply levels by monitoring stock, preparing stores requisitions and restocking supplies when delivered.
  • Composes and signs correspondence such as confirmation of appointments and form letters as directed or drafts correspondence for review and signature.
  • Maintains resident trust accounts; meets with residents/families to review information and determine billing instructions and methods of payment, obtains necessary signatures, requests and receives deposits, issues receipts, prepares and sends trust account statements, forwards funds received to finance for processing. Maintains related records and follows up on delinquent accounts.
  • Monitors access to the main entrance. Intervenes as appropriate and/or alerts security in order to protect the safety of patients/residents and staff.
  • Performs receptionist duties by receiving and forwarding calls, receiving visitors, providing information and directing individuals to appropriate areas.
  • Maintains various records and departmental operating statistics.
  • Sets up and maintains manual and electronic filing systems, databases and records for a variety of materials. Tracks information and prepares summary reports as required.
  • Types technical and non-technical materials such as correspondence, medical reports, statements, medical billings, various documents and reports, and educational materials.
  • Maintains appointment calendars by arranging and confirming appointments.
  • Arranges meetings as directed, books meeting rooms, types and circulates notices and agenda. Records, transcribes and distributes notes or minutes of meetings.
  • Performs other related duties as assigned.
  • Performs recording, timekeeping and attendance keeping functions; maintains timekeeping records for staff and submits to payroll. Receives and processes requests such as vacations, leave of absence by preparing appropriate documentation and forwarding for approval. Maintains records of staff.
Qualifications
Education and Experience
Grade 12 and three (3) years of recent related experience or an equivalent combination of education, training and experience.
