We are currently looking for a Budget & Fleet Coordinator (12+ month contract) at our Corporate Offices in Ajax, ON


The Budget and Fleet Coordinator holds crucial responsibilities within the Audi marketing team, including overall support for the Audi Marketing team in budget management, marketing vehicle fleet management, and PowerPoint presentation development. The role manages key operational areas of the business and will have exposure to strategic decisions with the ability to provide input into the broader Audi marketing strategy. The roles also supports with various team administration tasks.


**This is position is hybrid and requires 2 days in our Ajax office**


Primary Responsibilities:

Marketing Budget – manages overall budget process and documentation, including:

  • Leads monthly budget review meetings with marketing team
  • Works with legal and procurement on coordination of vendor contracts
  • Responsible for tracking of all agency estimates, requesting and tracking purchase orders (PO)
  • Collaborates with agency finance team to ensure budget control reports are accurate and up to date
  • Works with accounts payable and receivables to support agencies and vendors through the process
  • Tracks of YTD spend
  • Annual forecast and allocation
  • Responsible for ensuring the budget is up to date, avoiding under/over spending

Marketing Vehicle Fleet - manages a large fleet of vehicles to support marketing activities, including:

  • Coordinates transportation of vehicles to various events (up to 35 vehicles for one event)
  • Arranges maintenance, repair, interior and exterior cleaning
  • Ensures cars are properly displayed and protected when on-site at events
  • Responsible for configuring, ordering new vehicles based on product & marketing strategy, and for surrendering older vehicles
  • Manages agreements with brand ambassador and is the support contact for these individuals while a marketing vehicle is their possession
  • Other tasks as required
  • Tracks calendars, budgets and costs
  • Ensures full utilization of the fleet, tracking mileage on a monthly basis


PowerPoint development – Support the building and consolidating of various presentations needed throughout the year for board, management and dealer meetings, etc.


Qualifications:

  • Self-motivated and passionate team player
  • Analytical and critical thinker
  • Exceptional organization and time management skills
  • Process driven and detail oriented
  • Flexibility to travel up to 10-15% travel within Canada
  • Strong communication skills
  • Strong Excel and PowerPoint skills
  • 3+ years of related work experience. Business/ Accounting background with strong operational and organizational skills considered an asset.
  • Fluency in French, an asset
  • Associate Degree /College Degree in Accounting, Marketing and or Business and/or equivalent relevant work experience
  • Collaborative with strong ability to work effectively in a smaller, entrepreneurial organization
  • An aptitude for all things automotive
