Job Summary


The Faculty of Medicine inspires and enables excellence in health care through its medical education and research programs, and by serving and engaging society. Reporting jointly to the Student Affairs Advisor & Admissions Administrator, the Admissions and Student Affairs Assistant is responsible for the efficient coordination and organization of data within the Resident & Student Affairs office as well as the Admissions Office in the Faculty of Medicine.


Key Responsibilities


  • Maintain expert level of knowledge with respect to all requirements and processes for admission to medicine including priority admissions pathways. Provide clerical support during peak admissions periods.
  • Work closely with Evaluation Specialist and staff within Student Affairs and Admissions office on CACMS accreditation data collection.
  • Coordinate the annual submission process of student immunization records as well as Criminal Records/Vulnerable records checks for all 4 years of undergraduate medical students.
  • Communicate in a timely manner, relevant information, and deadlines, with entering and returning students ensuring clear and concise communication. Responsible for collecting and organizing data and information, and ensuring data is up to date and comprehensive.
  • Maintain a working level of knowledge for all immunization requirements to provide guidance to students, staff and others as required. Support scholarships and awards processes.
  • Provide administrative support for the Black Learner Admissions Pathway and Indigenous Admissions Pathway, including taking and distributing minutes, scheduling meeting dates and details, video conferencing/virtual links as needed, room bookings, and catering as requested.


Note


The successful applicant will be eligible for hybrid work (combination of in-person work on campus and remote work) as agreed by all parties based on operational requirements and university guidelines.


Required Qualifications


  • Business/Office Administration Program, with three to five years’ related work experience (or equivalent combination of training and experience).
  • Demonstrated ability to work in a confidential environment.
  • Excellent organizational and time management skills, attention to detail, customer-service skills, and a high level of communication and interpersonal skills.
  • Proficiency in MS Office (Word, Excel and Outlook).
  • Ability to work cooperatively as a member of a team and interact with a variety of people along with the capacity to handle frequent interruptions with multiple priorities.
  • Ability to exercise initiative, prioritize and work independently with minimal supervision.

  • Experience in a university setting.
  • Experience in Banner, or a related system
