As an Administrative Supervisor you provide support to the City Manager and other key management team members. To be successful in this demanding role you will have strong communication skills and be able to multi-task in a fast-paced environment and able to make a positive impact on key responsibilities, some of which will include the following:
- Assist Administrative Manager with departmental reviews of Accounts Receivables, Accounts Payable, Payroll & Inter-company administration functions for the Prairies Region.
- Assist with operational support for customer recovery
- Assists in managing special projects. Project management skills necessary.
- Providing confidential administrative and clerical support to the locations Administration Manager and City Manager.
- Ensuring that vendor accounts are paid and kept up to date;
- Handling employee related transitions including new hire paperwork and other routine changes;
- Provides a variety of reports to location managers.
- Completes a broad variety of administrative tasks for the Administration Manager, City Manager, and adhoc support other Managers as needed.
- Maintaining and updating closed contracts for the district’s operators;
- Produces information by formatting, inputting, editing, retrieving, copying and transmitting text, data and graphics. Microsoft Excel skills necessary.
- Researches, prioritizes, and follows up on incoming issues and concerns, including those of a sensitive or confidential nature.
- Prioritizes conflicting needs; handles matter expeditiously, proactively, and follows-through on projects to successful completion, often with deadline pressures.
- Assist in preserving and maintaining files
- Organize and supervise other office activities (recycling, renovations, event planning etc.)
- Assist in other roles/activities as assigned
- Monitor inventory of office supplies and the purchasing of new material with attention to budgetary constraints
- Approving payroll for the corporate employees in the City;
Required Experience
- Microsoft Office skills are required
- Must have strong administrative skills
- High school diploma.
- Minimum of three years of general office experience.
Required Knowledge, Skills and Abilities:
- Ability to multi-task in a fast-paced environment.
- Must be able to interact professionally with all levels of management.
- Demonstrated ability to learn new tasks and responsibilities.
- Self-motivated, requiring little direct supervision.
- Payroll and other administrative or secretarial education/experience a plus.
- Solid PC skills including Microsoft Office (Word, Power Point and Excel).
- Must be able to communicate clearly, accurately, and effectively both orally and in writing.
