Job Description

The Accounting and Office Operations Assistant is responsible for essential support in accounting tasks and maintaining smooth office operations. This role involves tasks such as financial record-keeping, working with the team to complete Canada’s Scientific Research and Experimental Development (SR&ED) program, coordinating office supplies, facilities management, and effective communication within the team and with external partners.

NanosTech is currently seeking a technology-minded professional to join our fast-growing company.


Accounting Assistance:·

  • Adapt to new responsibilities and perform other duties as required.
  • Continuously working with improving finance and administrative processes to streamline to utilize the resources efficiently.
  • Finance – Assist with budget preparation, depositing cheques, arranging the set-up of online payments and wire transfers and having them ready for approval.
  • Prepare POs and invoices and receive bills and payments as required using the computerized software system.
  • Examine client technologies, products and processes to determine which of their R&D activities qualify for SR&ED or other incentives.
  • Assist the Financial Controller with the analysis and recommendations on leases and contracts.
  • Accurate bookkeeping – perform journal entries, reconciliations of accounts payables, receivables and SR&ED time sheets.

Administrative and Office Operations

  • Maintain organized filing systems.
  • Train and onboard new team members on office procedures.
  • Handle general office inquiries and provide excellent customer service.
  • Collaborate with team members to ensure seamless office operations.
  • Liaise with external vendors, clients, and partners.
  • Assist in managing office budgets and expense tracking.
  • Oversee office equipment maintenance and repair.
  • Manage incoming and outgoing correspondence, including emails and phone calls.
  • Ensure office supplies are well-stocked and reorder as needed.
  • Coordinate office events and activities.


Qualifications

  • A demonstrated business acumen and an adaptable growth mindset are invaluable.
  • Accuracy and organizational skills.
  • 1Year Accounting experience
  • Diploma or higher.
  • Proficient with QuickBooks online, MS Word, Outlook and excel, PDF writer.
  • Experience and knowledge of the Canadian SR&ED
  • Team and goal-oriented.
  • Excellent communication skills (written and verbal).
  • Ability to conduct conversations to understand root causes for technical/scientific issues and understand key development concepts in R&D scope.
