2 ND STEP: $73,528.00 per annum

Area Of Responsibility


Reporting to the Manager or Project Manager, Building Design & Construction, this position is a primary point of contact to maintain master control documents and facilities database that all Building Design & Construction staff access with confidence that the information is current and accurate; e.g. CAD drawings, building information and reports, furniture/workstation inventories or other related construction project information for the City owned facilities.


  • Ensure the Corporate facility drawing library or other data bases related to facilities e.g. furniture and fixture inventory or construction close out files which includes but are not limited to warranties, claims for extras, errors or emissions, photos, minutes of meeting or other master control documents for all City owned or operated facilities is kept current and up-to-date at all times.
  • Responsible for furniture asset and inventory management; provide evaluations of surplus furniture assets, coordinate the relocation or disposal of surplus furniture and provide costs and specifications for newly acquired assets.
  • Responsible for coordinating the maintenance for the section’s plotters, printers, scanners and other electronic devices.
  • Assist with the administration of request for divisional services (work orders), data collection and move coordination activities.
  • Act as the subject matter expert and provide system user support training, software updates and support to staff and clients.
  • Responsible for the data entry for all new facilities and maintenance of existing facility data. Maintain data for space management and building, area measurements and utilization.
  • Liaise with the City staff and consultants to ensure all changes including warranty information at the completion of a project are updated in the master control data files.
  • Develop, maintain and communicate standards for formatting, storing, retrieving, updating, verifying and reconciling master control data bases for various construction related information e.g.: furniture and workstations inventory; or architectural drawings (CAD layering, naming conventions, and AutoCAD pallets and perform installation for users).
  • Able to assist with the delivery of small projects as may be required.
  • Coordinate and act as subject matter expert for information or data or drawings or standards related to the implementation of all construction projects as required e.g. procurement specifications, document and/or drawings.
  • Liaise with city staff and consultants to provide the information required to properly develop a project scope and issue a tender set of specifications. Ensure the integrity of the information is up to date and accurate.
  • Responsible for creating the appropriate summary reports and related support e.g. 3D renderings and the electronic output of reports and drawings in AutoCAD, Photoshop and Sketchup.
  • As subject matter expert of master control files, carry out additional similar and related duties as assigned.


Selection Criteria


  • Various tests and/or exams may be administered as part of the selection criteria.
  • Knowledge of upgrades to version 2010 AutoCAD and/or Building Information Mapping (BIM) an asset.
  • Experience with construction project software for planning, implementing and request for services an asset.
  • Health & Safety training on PPE, construction site safety, and First Aid an asset.
  • Over two (2) years, up to and including four (4) years of related work experience in an environment where use of required software and systems for Facility Management purposes or Construction/Renovation work was utilized as part of the job duties.
  • Excellent written and verbal communication and interpersonal skills with an emphasis on customer service.
  • Experience with Microsoft Visio an asset.
  • Construction site experience an asset.
  • Technologist membership with the AATO is preferred.
  • Public Sector work environment experience an asset.
  • Ability to travel to various work sites.
  • Experience in customer service and great interpersonal skills are essential.
  • Ability to work independently or as part of a team.
  • High school (Grade 12) graduation plus an additional program of over two and up to three years in Architectural Technology, or equivalent.
  • Working knowledge of Microsoft Office Suite required.
