Job Summary


The Senior Project Manager, Education is responsible for managing the design, development, execution, and evaluation of multiple concurrent strategic projects that are vital to advancing the strategies of the Education portfolio as outlined in the Faculty of Medicine's (FoM) strategic plan. The incumbent will engage senior faculty and administrative leadership within the Dean’s Office and the Office of the Vice Dean, Education, as well as broad stakeholders to understand and define goals and objectives, lead the project conception process, manage a number of concurrent projects of considerable size, diversity, complexity, and risk, and assume responsibility for their successful completion.


The Senior Project Manager, Education works independently and with high-level direction from the Director, Strategic Initiatives, Dean’s Office and the Administrative Director, Office of the Vice Dean, Education.


The position is based at the UBC Vancouver Campus and there may be occasional travel to other sites (e.g., Gordon and Leslie Diamond Health Care Centre) to support project activities.

The Faculty—comprised of approximately 2,200 administrative support, technical/research and management and professional staff, as well approximately 650 full-time academic and over 10,000 clinical faculty members—is composed of 19 academic basic science and/or clinical departments, 3 schools, and 25 research centres and institutes. Together with its University and Health Authority partners, the Faculty delivers innovative programs and conducts research in the areas of health and life sciences. Faculty, staff and trainees are located at university campuses, clinical academic campuses in hospital settings and other regionally based centres across the province.


The Office of the Vice Dean, Education is responsible for providing critical support and guidance to all educational programs offered within the Faculty of Medicine at all sites across the province of BC: MD Undergraduate Program (in partnership with the Universities of Victoria, Northern BC, and UBC Okanagan), Postgraduate Medical Education, Health Professional Programs, Continuing Professional Development, Faculty Development and all other educational service units that support teaching and education delivery.


Work Performed


  • Leads consultation and conducts analysis to understand the purpose and the intended outcome, and then leads the design and conception of projects that will advance strategic objectives.
  • Manages and leads project activities, follows up on action items and deliverables to ensure completion, and keeps the project on track and focused on achieving the intended outcome.
  • Contributes to and conducts project check-ins with the Education Projects Management Team in the Office of the Vice Dean, Education.
  • Understands change management implications of projects, designs change management strategies and tactics, integrates change management into project management plans, and leads the implementation of change management in projects.
  • Conducts project work, as needed, depending on the capacity and availability of other team members. This often requires accelerated learning of new skills and content areas, as well as superior adaptability.
  • Visions, designs and manages multiple concurrent projects of considerable size, diversity, complexity, and risk, focused on advancing initiatives, goals and objectives, in particular those of the Office of the Vice Dean, Education portfolio (which includes the Faculty of Medicine’s education programs and education service units).
  • Plans and leads project meetings, with a focus on advancing the project goal, tracking decisions, and capturing action items for follow-up.
  • Plans and leads strategic planning activities for the Office of the Vice Dean, Education.
  • Engages stakeholders from across units and functions in collaborative project work in a way that values their input and is informed by change management principles and best practices.
  • Manages project transition to operations, closeout, evaluation, and lessons learned activities upon project completion.
  • Deals with faculty, staff, learners, and all others in a respectful and professional manner, consistent with UBC's Statement on Respectful Environments.
  • Identifies project risks, develops risk mitigation strategies, incorporates risk mitigation plans into project plans, and leads risk mitigation actions throughout the project lifecycle.
  • Acts as an advisor to senior administration and academic leads on strategic projects for the Office of the Vice Dean, Education, ensuring that projects are executed within appropriate time frames and within defined scope and budget.
  • Performs other duties as required.
  • Leads the planning and execution of strategic projects for the Dean’s Office and for the Office of the Vice Dean, Education.
  • Researches and writes project documentation including charters, plans, scope statements, schedules, budgets, risk management plans, reports, status updates, and briefing notes, using a variety of formats.
  • Develops positive and productive working relationships with a range of stakeholders from across the organization, and manages day-to-day communications with stakeholders, responding to concerns related to projects.
  • Plans projects by defining the scope of work and deliverables that will produce the intended outcome, and by estimating time and resource requirements.
  • Develops and implements internal communication tools and business processes for use between team members to keep them informed of project status, scope changes, and milestone achievements.
  • Uses diplomacy and leadership skills to manage and lead other team members, often who do not formally report to the Senior Project Manager, Education to ensure proper completion in light of the full project scope, budget, timeline, and risks.
  • Leads the development of strategic projects that are complex in scope, impact, and diversity of stakeholders, with significant long-term importance and consequence to the Faculty of Medicine and the Office of the Vice Dean, Education.


Consequence of Error/Judgement


This position works independently and needs to exercise a high degree of judgment and initiative. This position is responsible for making professional project decisions and recommendations that impact the success of projects that are vital to achieving the Faculty's strategic objectives. Through its close interaction with partner organizations, this position has a direct impact on the credibility and integrity of the Faculty of Medicine and the Office of the Vice Dean, Education within the health authorities, government, business, academic communities and various other external stakeholders. As decisions made can create legal and financial liabilities, errors of judgment or procedure, or the inability to meet financial and operational commitments would have a direct adverse impact on the operations and reputation of the Faculty of Medicine, the University, and partner organizations. This position will support a wide range of projects and often will deal with confidential and sensitive material and matters. A high level of integrity is required in maintaining confidentiality and the incumbent must be comfortable working in areas of ambiguity, challenge, and change. Lack of tact, diplomacy, or sensitivity in dealing with industry and government contacts could potentially result in missed opportunities, damaged relationships, and loss of credibility for the Faculty. Failure to provide sound strategic advice and effective leadership on projects could jeopardize the Faculty's and the Office of the Vice Dean, Education’s ability to advance its mission and would interfere with decision-making and resource allocation.


Supervision Received


Reports to the Director, Strategic Initiatives, Dean’s Office. Has a functional report to the Administrative Director, Office of the Vice Dean, Education. In addition, this position will work closely with and receive work direction from the Senior Director, Education Programs and Services and the Vice Dean, Education.


Works with considerable latitude under the broad direction of the Director, Strategic Initiatives, Dean’s Office and the Administrative Director, Office of the Vice Dean, Education.


Works closely with senior academic and administrative leadership in project sponsorship roles, depending on the project. Performance is evaluated against set goals and expectations. Some strategies, initiatives, and projects could be independently managed and may be subject to final review only.


Supervision Given


Manages the work of project team members on a project basis.


Minimum Qualifications


Undergraduate degree in a relevant discipline. Minimum of five years of related experience, or the equivalent combination of education and experience.

A project management-related certificate or designation is required.


Project Coordination And/or Management Experience Is Required.

Excellent communication skills (spoken and written, formal and informal) and computer skills (e.g., with the MS Office Suite) are required.


Must be intuitive as well as analytical.
