Job Description
Randstad is currently looking to hire a Samples Coordinator for a great contract opportunity with an amazing company in Mississauga.
This role supports the day-to-day processing of samples from the time of receipt, and ensure samples are placed within each department’s designated samples storage space for the merchants to access and review. This role also is responsible for managing proper flow of samples in and out of Home Office to ensure newness for the upcoming quarters’ style out and strategy meetings. This role works collaboratively with the merchants directly, and other business partners such as Workplace Services, Merchandise Assistants, Product Development, Marketing, Charity, GBO, and vendors. This is a full-time position on a 2-month contract with the possibility to extend.
Job location: Mississauga - ON SITE
Pay rate: starting from $19/hr
Work hour: Monday - Friday 8:00am - 4:00pm

Responsibilities
  • Execute all samples processes in place to ensure the timeliness and accuracy of new samples arriving at home office for each department, from receipt to designated samples storage areas.
  • Complete other duties as assigned.
  • Communicate purging schedules and execute purges with merchants to ensure proper flow of samples out of the office, to ensure proper space allocated for newness each quarter.
  • Create and maintain/update database to keep record of samples entering and leaving home office throughout the fiscal year, i.e., Purged samples, marketing samples, samples shipped to vendors, buying offices, and buyer homes.
  • Partner with merchants for determining marketing samples and ensure all marketing samples are set for marketing to select from, labelled by department. These occur quarterly for each department.
  • Initiate communication with merchant when samples space is reaching capacity, to engage in purge, and execute purge to maintain the relief of space.
  • Partner with Loss Prevention team to identify and ensure compliance with any LP processes, communicate samples leaving home office or returning, for visibility and liability purposes i.e., when donating to charity, and sending samples to marketing showroom.
  • Keep track of all samples arriving through the Samples Support inbox, SC logic scanning software, and maintain consistent communication with merchants as they arrive and need to be reviewed.
  • Responsible for pack up of commodities and hand off to charity specialist, to ensure purged samples are donated to our charitable partners.
  • Participate in special projects as assigned.
  • Must be able to safely move up to 100 lbs. i.e., Boxes/bins of samples, equipment/fixtures for meetings while also adhering to workplace health and safety rules and regulations.
  • Ensure samples areas are kept neat and tidy, assist merchant with organization of their designated spaces.
  • Execute movement of fixtures, meeting room set ups in merchant floor spaces for upcoming meetings. Retrieve all fixtures and re-set the room for the next meeting and assist in putting samples back to storage areas, or ship to vendors/GBO.
  • Execute the movement of samples to meeting spaces for style outs, and strategy/vision meetings and other special events and walk-throughs (this occurs 8-12 times per year, for each department).
  • Execute shipment of samples to GBO, vendors, and marketing showroom for all departments, and coordinate the return of samples to Home office.
  • Monitor the samples areas to ensure compliance with health and safety rules and regulations.
  • Assist merchant to review samples remotely via Microsoft Teams video review, or by shipping samples to buyer homes and coordinate sending it back, when needed.
  • Communicate and plan accordingly with EA's, MA's and merchants for upcoming meetings to ensure proper distribution of supplies and fixtures.
  • Consistently provide timely and professional communication to the merchants, senior merchant group and other business partners.

  • Self-motivated and independent; ability to work with minimal supervision.

  • Customer service skills when dealing with internal and external parties, including responding to inquiries efficiently and effectively.
  • Flexibility and adaptability working in an ever changing, fast-paced environment.
  • Attention to detail and follow through skills.
  • Good organizational skills including time management.
  • Post-Secondary Education, or equivalent work experience.
  • Strong interpersonal and communication skills.
  • Professional office experience.
