ABOUT THE CLPNA
The College of Licensed Practical Nurses of Alberta (CLPNA) is a non-profit, non-government, regulatory organization. CLPNA exists to protect Alberta healthcare users. Our first responsibility is to the public. We regulate the profession of Licensed Practical Nurses (LPNs), setting and maintaining standards to ensure the public receives safe, competent, and ethical healthcare services. Our focus and commitment to public protection and regulatory excellence underscores everything we do. The CLPNA has partnered with Alberta Health to lead the development and the continued operations of the Alberta Health Care Aide (HCA) Directory. In Alberta, HCAs are not a regulated profession, although HCAs will become regulated under the Health Professions Act in the near future.
EMPLOYMENT TERM
This is a full-time, permanent appointment. Position is eligible for hybrid work, with a requirement to work in our Edmonton office on a regular basis.
THE ROLE
Reporting to the Manager, Registration, the Registration Assistant works with a team of professionals who support the Registration department. The Registration Assistant processes LPN registration forms for new graduates, out-of-province, and registration renewals. The Registration Assistant provides information and guidance in a fair, consistent, and transparent manner to applicants and registrants, ensuring compliance with registration processes.
This position serves as the main point of contact for applicants and provides guidance on the registration and application policy and procedures. The Registration Assistant also offers recommendations to the Manager, Registration and Deputy Registrar/Director of Registration and Competence for improvements on processes pertaining to registration, Internationally Educated Nurse applications, and renewal applications. Additionally, this role provides administrative support to the Competence Committee and the Continuing Competence Program.
KEY RESPONSIBILITIES
Daily: processing applications and maintaining the membership registry database by adhering to all CLPNA policies, procedures, and LPN Regulation and legislative requirements. This position focuses on administering new Internationally Educated Nurse application processes by providing effective customer assistance to applicants and stakeholders and by adhering to the CLPNA service standards. This role also includes the administration of the Continuing Competence Program and audit process, which occurs once a year. This position works closely with the Registration Competence Advisor responsible for the program and provides support to the Competence Committee.
Monthly: providing monthly, quarterly, and annual reports on Internationally Educated Nurse statistics to the Manager, Registration and Deputy Registrar/Director of Registration and Competence, for required metric reporting and analysis to track growth and attrition within the CLPNA. Additionally, this position is responsible for collaborating with other CLPNA staff responsible for the Canadian Practical
Nurse Registration Examination process (CPNRE) to ensure that the application, instructions, policy and procedure manual, and website is current and relevant and that Internationally Educated Nurses receive correct information.
Annually: administering the renewal application process by providing effective customer assistance to applicants, managing inquiries, and processing applications and fees in accordance with CLPNA policy and procedural guidelines and LPN Regulation. Providing renewal statistics to the Manager, Registration and Deputy Registrar/Director of Registration and Competence. Delivering suggestions for improvement or efficiencies to the Manager, Registration and Deputy Registrar/Director of Registration and Competence throughout the year to effectively improve the Registration and Renewal system.
SKILLS & ABILITIES
The Registration Assistant is able to work well independently but also as a team member with a positive, professional attitude. With excellent communication skills, they are someone who understands how to frame a message in a clear, concise manner, while being able to comprehend a high volume of information.
The ideal candidate thrives in a high-volume environment, with the ability to manage tight deadlines while still exercising good judgement. Given its functions, the role calls for a self-motivated, hands-on professional who strives for accuracy, pays high attention to detail, and brings great organizational skills.
EDUCATION & EXPERIENCE
- Post-secondary diploma or degree in a relevant program (i.e., office administration) with a minimum of 2 years of experience in an administrative capacity is required. Equivalencies may be considered.
- Experience in a regulatory environment would be an asset.
- Previous experience in a registration function in post-secondary or educational institutes would be an asset.
OTHER QUALIFICATIONS
- Must be eligible to work in Canada.
- Must speak, read, and write English fluently.
- Satisfactory professional and criminal reference checks.
- Intermediate to advanced PC/computer skills with solid understanding of MS Office.
