Job Description

Altis Recruitment is seeking a full-time Records Clerk to support our client in the non-profit space. The ideal candidate will hold 3+ years in a Database/Records Management position. This position will be located in the core of downtown Toronto starting off on a 11-week contract with the strong potential of extension to 1 year.

Roles and Responsibilities

  • Assist in the filing and distribution of requests for Records Management Services.
  • Prepare, update, and maintain reports and statistical records using database and spreadsheet applications. Keep track of the number of records searches performed.
  • Respond promptly to telephone and written requests for records/information.
  • Handle the collection, retrieval, and conversion of stored records not available in digital form. Utilize scanning equipment to digitize paper, fiche, and film records, ensuring their proper storage in designated repositories.
  • Handle incoming mail and faxes promptly, sort and distribute them accordingly, and provide support for photocopying, scanning, faxing, and mailing materials as needed.
  • Conduct thorough and accurate searches across various systems to locate records/information in response to search and information requests.
  • Collaborate with the team and proactively communicate any challenges or issues related to administrative responsibilities. Participate in problem-solving and resolution planning.
  • Efficiently type a variety of materials, such as memos, letters, reports, schedules, lists, documents, and meeting minutes. Occasionally, compose correspondence when required.
  • Prepare detailed responses for requests, documenting the search process and maintaining contact logs as required.

Qualifications and Skills

  • Great attention to detail
  • Ability to work in a fast paced environment
  • Experience with MS Office tools
  • Minimum of 3+ years in a similar position - database/records
