Receptionist (OPSEU, Elgin)


Full-Time, Contract up to 12 months


St. Thomas; Elgin County Catchment Area

We’re working to ignite hope and foster change for those in our community who are experiencing mental illness or addictions.


Reception will support the Elgin Branch operations primarily by receiving and appropriately directing telephone calls, visitors, and correspondence; by maintaining a supply inventory and completing orders as needed; by maintaining a waitlist and coordinate appointments; and by completing various other office administration duties as assigned.

Successful candidates must have a Police Vulnerable Sector Check (PVSC) completed within the last six months. In order to avoid delays in beginning a position, interested applicants who are in need of a PVSC are encouraged to apply for one as soon as possible.


WHAT WE'RE OFFERING:


  • PSLRTA Notice - This posting characterizes this position as currently unionized under the Elgin Collective Agreement. However, please be aware that the organization on September 29, 2022, a vote was held as a result of an application by the Organization under the Public Sector Labour Relations Transition Act. The result was that employees voted to award OPSEU bargaining rights for all employees. Until such time as a new collective agreement is finalized, current terms and conditions of employment and existing, applicable collective agreements, if any, will remain in force and effect.
  • Your pension plan – Immediately eligible for optional enrolment in the Healthcare of Ontario Pension Plan (HOOPP)
  • What you'll be making - $21.71 per hour
  • When you'll work - 70 hours over a two week period, Monday to Friday 8:30am - 4:30pm


HOW YOU WILL BE MAKING A DIFFERENCE:


  • Refer and/or redirect calls, emails, or visitors as required
  • Organize, maintain, and coordinate office records and files
  • Answer telephone and electronic inquiries and relay telephone calls and messages
  • Assist in coordination of meeting room, vehicle, and equipment resource bookings
  • Assist with job site administration duties, including maintenance of daily logs as required
  • Review, evaluate, and make improvements to office procedures
  • Accurately and appropriately scan and file documents in client electronic files
  • Maintain a high level of confidentiality in all interactions
  • Maintain and monitor office supply inventory levels, place orders as required, and arrange for servicing of office equipment
  • Assist in the compilation of data for various reports
  • Perform data entry into database
  • Present a positive and professional image of the organization when interacting with employees, clients, visitors, and other external stakeholders
  • Act as a first point of contact and provide general information to staff, clients, and the public relating to their questions, concerns, or suggestions
  • Photocopy and organize documents for distribution, mailing, binding, and filing
  • Administer and manage inbound and outbound mail, including priority post, packages, courier services, and other correspondence
  • Other administrative duties as assigned
  • Transcribe dictation notes
  • Maintain a psychiatry wait list and psychiatrist appointment schedule, communicating with clients to booking, confirm, and reschedule appointments as required


WHAT YOU'LL NEED TO APPLY:


Vaccination Requirements


CMHA Thames Valley Addiction & Mental Health Services requires that all staff members be fully vaccinated against COVID-19, with the rare exemption of those individuals who cannot be vaccinated due to approved exemptions (medical reasons or religious grounds as recognized in the Ontario Human Rights Code). Proof of full vaccination or approval of exemption will be required; further details will be provided to those candidates moving forward in the recruitment process.


Police Vulnerable Sector Check


Successful candidates must have a Police Vulnerable Sector Check (PVSC) completed within the last six months. In order to avoid delays in beginning a position, interested applicants who are in need of a PVSC are encouraged to apply for one as soon as possible.


We require the following qualifications:


  • Organization: Able to create or maintain processes to ensure timely completion of tasks.
  • Valid Class G Ontario Driver’s Licence
  • Time Management: Balances a multitude of competing demands and prioritizes duties effectively.
  • Current, clear Police Vulnerable Sector Check (PVSC)
  • Professionalism: Possesses superior telephone manners and demonstrates professional standards of conduct in both internal and external interactions, and is able to interact with people tactfully at all times.
  • Vehicle insurance in compliance with CMHA TVAMHS policy
  • Resourceful: Responds to difficult situations or workplace requirements by using the available tools and information to support decisions and solutions, responding quickly in a dynamic and changing environment.
  • Communication: Expresses and transmits information with consistency and clarity, communicating effectively both verbally and in writing. Possesses strong writing, editing, and proofreading skills.
  • Ontario Secondary School Diploma or equivalent (primary proof of credentials will be required during the hiring process i.e. original degree/diploma or official transcript)
  • Minimum (1) year of experience in a receptionist / administration role
  • Demonstrated ability to attend work regularly
  • Attention to Detail: Attends to details and pursues quality in the accomplishment of tasks.
  • Ownership: Takes pride in the work that is accomplished and understands the function of tasks within the larger picture of the organization.
  • Computer Proficiency: Proficient in use of Microsoft Word and Microsoft Outlook, and able to adapt to new technology; knowledge of Microsoft Excel and Microsoft PowerPoint preferred


We prefer the following qualifications:


  • Current certifications in Non-Violent Crisis Intervention (NVCI), Standard CPR / First Aid, and/or ASIST
  • College Diploma or Certificate relevant to administrative support
