Job Description

The position operates in the area procurement and supply chain e.g., bid analysis, selection of suppliers, subcontracts, professional services, contract administration, site mobilization and demobilization and supplier quality surveillance and compliance.
The Purchasing Administrator reports to the Procurement Manager OR Purchasing Manager and will partner with the Subcontracts Coordinator.
What you possess:
  • Prepare Purchase Orders in the system when needed
  • Assist with the evaluation and monitoring of contract performance to ensure compliance with contractual obligations and determine needs for changes
  • Initiate Vendor creation for awarded subcontractor and coordinate with Finance dept;
  • Learn processes and supports Purchase Coordinator around the research and evaluation of suppliers based on price, quality, selection, service, support, availability, reliability, production and distribution capabilities, and the supplier’s reputation and history.
  • Assist in maintaining the General Bidder List up to date
  • Verify that Initial Submittals required from Vendor are provided, receive, dispatch as required, track related queries to Vendor, escalate issues to Purchase Manager and file the said Initial submittals
  • Assist in preparing bidder lists per work package, in conjunction with Technical Lead and Procurement department.
  • Oversight of the purchase documents workflow and maintenance of the filing system (Comparative Charts, Purchase Orders, Change Orders, etc.);
  • Receives the Purchase Coordinators request for due diligence and coordinate as required.
  • Work closely with Purchase Coordinators to Initiate, track the approvals and archive in the Construction Management Software
  • Coordinate with Doc Control for the dispatch of / receipt of correspondence and procurement documents to Vendors,
Qualifications
What we ask for:
  • Team player with Strong organizational skills and the ability to work independently to meet deadlines, goals, and objectives
  • Excellent interpersonal, written, and verbal communication skills
  • Basic knowledge of areas of procurement including subcontract administration, insurance, financial instruments, purchasing expediting
  • Proficient in Office 365 (Power Point, Word, Excel) and have a general knowledge of database utilization.
  • Preferably min. 1 year of professional experience in construction related procurement, supply chain or similar
  • Assist with the evaluation and monitoring of contract performance to ensure compliance with contractual obligations and determine needs for changes.
  • Detail-oriented, highly motivated with ability to effectively manage time
