Summary


The position, working closely with the Program Director, Degree Programs for Pharmacists, is responsible for strategic planning, program and student support, and overall administrative needs of the Faculty’s degree programs for working pharmacists, i.e., Graduate Diploma in Pharmacy Leadership (GDPL) and Flexible Doctor of Pharmacy (Flex PharmD).


This position is responsible for the development of policies and procedures, identifying the need for and supporting the development, implementation and evaluation of the curriculum and new initiatives within the programs, administrative support and participation in the programs’ governance committees, liaising with the Faculty’s Enabling Units in support of the programs, and managing student-staff and similar support roles as appropriate.


In collaboration with the Program Director, Degree Programs for Pharmacists; the Office of the Associate Dean, Academic and Enabling Units; and, where applicable, Faculty and campus partners, the Program Manager, Degree Programs for Pharmacists formulates and implements plans to support the academic programs, including strategic planning, curriculum development and refinement, program evaluation, communication to internal and external stakeholders, and student support activities such as orientation, professional development, and leadership initiatives for students.


Organizational Status


The Program Manager, Degree Programs for Pharmacists, reports to the Program Director, Degree Programs for Pharmacists.


This position requires interaction and cooperative work with the decanal leadership, directors, faculty members, and staff within and outside the Faculty. Delegates work to support staff as required.


Where applicable, the incumbent interacts and consults with members of the Faculty of Pharmaceutical Sciences, Faculty of Graduate and Postdoctoral Studies, and other academic and administrative units on campus.


Work Performed


  • Prepares statistics and reports on admissions, enrolment, and other activities for the program(s), the Associate Dean, the Faculty and external stakeholder reviews.
  • Maintains records regarding student registration, progress and academic appeals.
  • Advises students and faculty on University, Faculty, and Program policies and procedures as they apply to individual student programs.
  • Develops content for the program websites and external communications, marketing materials, and educational notifications to stakeholders, Faculty, and the community at large. May be required to attend recruitment fairs and develop promotional materials for those events.
  • Performs other duties as required.
  • Guides faculty members through the Faculty and University curriculum approval process by drafting proposals for consideration by governance committees and advises on processes to follow.
  • Evaluates various support functions (policies, procedures, staff resources) for the program, and analyses results to improve the overall effectiveness of functions.
  • Assists with and participates in special projects and initiatives necessary to ensure the program(s) function in accordance with best practices and standards (e.g., curriculum mapping exercises, strategic planning, etc.).
  • Independently researches, prioritizes and determines appropriate courses of action on multiple issues and concerns identified by the Program Director, as they relate to the programs, including those of a sensitive or confidential nature.
  • Supports the internal (Pharmaceutical Sciences) and general (Graduate + Postdoctoral Studies) faculty processes as they pertain to admissions and student support.
  • Develops, articulates, and evaluates program policies and procedures, collecting feedback from stakeholders and making appropriate recommendations to the Program Director.
  • Plans orientation activities and develops materials distributed by the Office of Student Services (e.g. student welcome package, student program orientation).
  • Sets and manages schedule for course offerings in conjunction with the Program Director and course coordinators.
  • Ensures adequate support is available for Faculty and student initiatives.
  • Plans and coordinates Program Committee meetings Act as a resource for leadership, informing of new developments that are related to the committees and meetings that this position oversees.
  • Collaborates with the Academic Portfolio’s Enabling Units (Offices of Student Services, Educational Technology and Learning Designs, Educational Assessment and Experiential Education) to facilitate the development and delivery of the program(s) and support student learning and engagement in an online environment.
  • Writes reports on behalf of the Program Director for use in strategic planning, updates to the Faculty via Academic Portfolio reports and similar documents
  • Manages the PLAR process; coordinates candidate eligibility for challenge examinations; acts as an advisor and on the development of students’ portfolios.
  • Leads projects to address issues by setting goals, timelines, delegating work to appropriate staff and faculty, following-up on tasks, and evaluating at project completion.
  • Responds to student inquiries related to the programs, including admissions questions from prospective students. Creates recruitment and admissions-related workshops/information sessions (online or in person) to support promotional efforts.
  • May contribute to University committees or working groups to provide a perspective from Degree Programs for Pharmacists upon invitation as appropriate.


Consequence of Error/Judgement


This position requires judgment, tact, discretion and initiative to a high degree. Errors in judgment with internal or external constituents could have negative impacts on the Program Director, Degree Programs for Pharmacists, the Office of the Associate Dean, Academic, the Office of the Dean, and the University resulting in poor public relations, financial costs, and/or loss of credibility.


Work must often meet tight deadlines and requires the incumbent to perform well under pressure. The incumbent will be expected to respond well to unexpected circumstances and exercise independent judgment. The incumbent must demonstrate strong interpersonal skills in dealing with the senior administration, faculty members, staff, students, and other members of the university community. Inappropriate or errant communications of sensitive issues could have a serious impact on operations and have legal implications.


Exercises judgment and initiative in handling matters of a non-routine nature requiring the interpretation of University and Faculty guidelines, procedures and policies. Expected to exercise judgment in establishing priorities and carrying tasks through to completion in a timely manner. Reviews working procedures and implements changes as appropriate.


Supervision Received


The incumbent is expected to work under direction within defined policies and procedures, exercising discretionary judgment and tact, keeping the Program Director, Degree Programs for Pharmacists, informed of activities and problems; work is reviewed for appropriateness and conformance to established standards. Reports directly to the Program Director and consults with the Program Director regarding major changes and decisions.


Supervision Given


This position may supervise graduate teaching assistants, temporary staff and work learn or directed studies students contributing to the program. Supervision includes recruitment, training, performance evaluation, career advancement, staff professional development, discipline and termination as required. The incumbent sets office priorities, organizes and adjusts workflow, etc. The incumbent is responsible for staff performance and ensuring assigned responsibilities are performed efficiently and effectively.


Minimum Qualifications


University degree in a relevant discipline. Minimum of two years of related experience, or the equivalent combination of education and experience.


Preferred Qualifications


Administrative work experience, ideally related to academic program management.
