We are currently seeking dedicated and detail-oriented individuals to join our team as Administration / Governance / Policy Team Members. As a valued member of our team, you will play a crucial role in maintaining effective chapter governance and compliance. Your attention to detail and expertise in policy management will ensure the smooth functioning of our chapter and adherence to regulatory requirements. Responsibilities:
- Ensure chapter policies are consistent and compliant with all applicable governmental jurisdictions and regulations, such as CRA, government compliance, PMI policies, Sarbanes Oxley, and local laws and regulations.
- Coordinate the annual review of the chapter's bylaws to ensure operational consistency. If any contradictions are identified, coordinate the update of the bylaws and work with PMI Chapter Engagement Staff for PMI approval and membership ratification vote. Ensure roles and function definitions align with the chapter's member-ratified bylaws.
- Conduct a gap analysis between PMI global policies / procedures / processes and chapter policies / procedures /processes and develop accordingly the appropriate chapter policy / procedure and processes manual to address any gaps.
- Safeguard all governing documents, including bylaws, articles of incorporation/registration, charter agreements, board policies, committee charters, fixed assets list, contractual agreements, and other non-financial records.
- Maintain awareness of and align with PMI Chapter Conflict Resolution process and tools.
- Coordinate monthly status reporting, improve report formats, create an executive dashboard, and provide consolidated updates to the board monthly. Ensure the chapter's shared document repository is up to date. Coordinate the notification of the annual meeting to all members and assist in developing the annual report.
- Provide requested information and records to members and outside organizations, excluding personally identifiable records, upon approval and request of the board.
- Ensure governance and compliance notifications are appropriately provided to the membership, directors, auditors, and committees. Raise awareness of code of conduct, regulations, processes, and fairness among chapter members.
- Collate an annual plan deliverable from each chapter leader, develop an annual plan matrix, track progress, and report status updates to the board and PMI.
10.Assist the board in creating a suitable diversity, equity, and inclusion (DE&I) policy or best practices to support PMI's commitment to DE&I.
Requirements:
·Strong understanding of governance, administration, and policy management.
·Familiarity with governance structures and bylaws, preferably in a not-for-profit organization.
·Knowledge of PMI conflict resolution process and PMI Code of Ethics and Professional Conduct.
·Experience with policy development and maintaining bylaws.
·Experience with process analysis and design, with an eye for consistent process improvement best practices.
·Knowledge of records retention requirements.
·Excellent written and verbal communication skills.
·Strong organizational and time management abilities.
·Ability to work collaboratively with diverse teams.
·Previous experience in executive leadership roles is a plus.
