Job Description

The North Western Ontario Health Record Program will transform and coordinate health care across the region for patients and stakeholders residing in a catchment area from the Manitoba border to Manitouwadge (east of Thunder Bay).


Innovation in stakeholder engagement, experience working in virtual teams, and willingness to travel in the region will be required for all members of the Program team.


The Program requires staff who are self‑motivated, energetic, independent, and who thrive in roles requiring ongoing prioritization of multiple demands. This is a Work from Home/ virtual position, therefore we are looking for a highly organized and collaborative professional, who will operate effectively in a remote working environment.

Responsibilities

  • Support the team to update Program plans, engagement plans, risk and issue logs, and prepare Program documentation
  • Arrange and plan events, managing all event administration, documentation, bookings, attendees etc.
  • Manage Program and team calendars and coordinate with other executive and administrative assistants
  • Assist in the design, establishment, and maintenance of project controls and standards
  • Assist the Program team in the preparation of routine and ad-hoc presentations and reports, including visuals using a variety of technology
  • Provide general administrative support to the Program in line with project management and change management methodology
  • Organize and coordinate Program meetings, meeting rooms, including creating agendas and taking minutes


Qualifications

  • Degree or Diploma in Business or Office Administration related discipline
  • Experience of working under pressure and to tight deadlines
  • Regular work attendance and the ability to work flexible hours are required.
  • Four years administrative experience or business experience
  • Proven ability to build and manage relationships with external organizations
  • Experience organizing meetings, building agendas, collecting/distributing meeting material, and taking meeting minutes
  • Experience in a health care environment is an asset
  • Experience providing administrative support to large scale projects with diverse teams
