This position is a part of the Association of the Academic Staff of the University of Alberta (AASUA).


In accordance with the Administrative and Professional Officer Agreement , this full-time continuing position offers a comprehensive benefits package found on our Benefits Overview page and annual salary range of $62,452-$104,084.


Location


This role is hybrid with a mix of remote and in-person.

Working for the Department/Faculty


The Fyrefly Institute for Gender and Sexual Diversity is a non-profit organization and research institute housed in the Faculty of Education at the University of Alberta. The Fyrefly Institute provides programs and services to support the 2SLGBTQ+ community and its allies. We are unique in that we utilize research to inform our services, and our services drive the direction of our research. Our work also involves partnerships with various organizations to provide direct services, including crisis intervention, mental health supports, Camp Fyrefly, and 2SLGBTQ+ education.


Position


The Manager of Programs & Services, reporting to the Executive Director, manages the daily operations of the Institute. The Manager of Programs & Services is accountable for the effective and efficient management of staff, volunteers, program/event delivery, finances/budgeting, fund development activities, and all administrative systems. The Manager of Programs & Services supports the Executive Director in planning and decision-making related to all functions of the Institute and its initiatives. This position plays a critical role in ensuring the Executive Director receives timely and accurate information on current and emerging issues and also exercises a significant degree of decision-making, analytical and problem solving on behalf of the Executive Director, Associate Dean Research, and Dean.


Duties


Strategic Management and Program Planning (10%)


  • In consultation with the Executive Director, develops a viable multi-year plan for Fyrefly Institute programming and services.
  • Manages the day-to-day operations of all Institute programs and services at the U of A and off-site locations.


Financial Management (30%)


  • Assist the Executive Director in budget planning, development and monitoring of the Institute’s financial situation.
  • Manage the Institute‘s ongoing financial commitments as authorized by the Executive Director to various organizations and grant projects , ensuring that annual and multi-year commitments are reflected to provide accurate forecasting.


Operational Management (10%)


  • Collaborate with the Executive Director to: ensure that the operation of Institute programs and services is adaptive, and informed by research t o achieve synergies among research, education and delivery of Fyrefly programs and services
  • Management of sustainable Institute program and service delivery policies and systems.


Human Resources Management (30%)


  • Directly supervises Institute staff and volunteers and manages personnel issues; works closely with the Executive Director and HR to develop proactive solutions.
  • Manages the organization structure for the Institute , including determination of requirements for staff positions, and recruitment of staff.


Administration (20%)


  • Oversees planning and production of Institute project reports, annual reports and policy, in fulfilment of contractual commitments and priorities of the Institute Exe c utive and Advisory Committee s.
  • Initiates discussion and policy review or development on issues which have an impact on the administration of the Institute and/or the delivery of its programs and services.


Minimum Qualifications


  • Demonstrated knowledge of sexual and gender diversity, intersectionality, and anti-oppresive principles and practises.
  • Diplomatic, intuitive, and creative communication and leadership style.
  • Proven ability to lead, motivate, plan and direct others; a consensus-builder, but also able to make tough independent decisions, while applying discrete, diplomatic and persuasive methodologies within influential groups and ambiguous situations.
  • Strong people management skills, including interpersonal, negotiation and mediation skills.
  • In depth understanding of Generally Accepted Accounting Principles, and extensive experience in budgeting and financial reporting.
  • Ability to lead, innovate, and prioritize complete tasks, planning and projects to meet multiple and often conflicting deadlines.
  • A related post-secondary education and 5 to 10 years experience in senior/executive management and strategic management in an entrepreneurial, public sector environment, which requires support for an executive committee or board of governance.
  • Demonstrates ability to work independently and as a part of a larger team.
  • High level critical thinker with mature judgement that results in the ability to work comfortably and effectively in complex roles and ability to handle sensitive and confidential information.
  • Outstanding written, oral presentation, group facilitation, and active listening skills.
  • Ability to communicate effectively with staff members at all levels of the organization to initiate and manage change and effectively manage conflict.
  • Management experience as it relates to an operational unit within a public sector setting, post-secondary educational setting, and project management background.
  • The ability to coach and mentor staff and build an empowered and accountable team.
  • Strong entrepreneurial business management skills and experience, with demonstrated competence in managing the financial “bottom line” within the complexities of a public sector context.
