We have an exciting opportunity for a Virtual Executive Assistant to join our dynamic team. This role allows you to work remotely from anywhere in Canada, providing valuable support to executives and contributing to the overall success of our organization.
Responsibilities:
- Prepare and edit correspondence, reports, and presentations, ensuring accuracy and professionalism
- Handle ad-hoc administrative tasks as assigned, demonstrating flexibility and adaptability
- Assist with the preparation and execution of virtual meetings, taking detailed minutes when necessary
- Maintain and organize electronic files, ensuring confidentiality and easy accessibility
- Monitor and respond to emails and other correspondence on behalf of executives
- Coordinate travel arrangements, including flight bookings, hotel accommodations, and ground transportation
- Collaborate with cross-functional teams to facilitate seamless communication and workflow
- Efficiently manage executives' calendars, scheduling appointments, meetings, and conferences
- Conduct thorough research and compile data for various projects and presentations
Qualifications:
- Proactive problem-solving skills and the ability to think critically and independently
- Previous experience in an administrative or executive support role is an asset
- Familiarity with virtual meeting platforms such as Zoom or Microsoft Teams
- A post-secondary degree or diploma in business administration or a related field
- Strong written and verbal communication skills, with exceptional attention to detail
- Proficient in using Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
- Excellent organizational and time management skills, with the ability to prioritize and meet deadlines
- High level of professionalism, integrity, and discretion when handling sensitive information
- Strong multitasking abilities and the capacity to adapt to changing priorities
