If so, we have an exciting opportunity for you to join our dynamic team as an Entry Level Executive Assistant. This is a remote position based in Canada, offering flexibility and the opportunity to work from the comfort of your own home.
Responsibilities:
- Conduct research and provide timely and comprehensive information for executive decision-making.
- Maintain confidentiality and handle sensitive information with utmost discretion.
- Act as a gatekeeper, screening and prioritizing incoming calls, emails, and correspondence for the executive, ensuring timely responses and follow-ups.
- Manage and maintain executive's calendars, scheduling appointments, meetings, and travel arrangements efficiently and effectively.
- Serve as a liaison between the executive and internal/external stakeholders, fostering positive relationships and facilitating effective communication.
- Prepare expense reports, process invoices, and maintain budgetary records.
- Assist in managing special projects and initiatives, ensuring deadlines are met and deliverables are achieved.
- Coordinate and organize meetings, conferences, and events, including logistics, agenda preparation, and materials distribution.
- Prepare and edit various documents, presentations, and reports, ensuring accuracy and attention to detail.
Qualifications:
- Excellent verbal and written communication skills, with a keen eye for detail.
- Ability to work independently and collaborate effectively in a remote team environment.
- Strong problem-solving and decision-making abilities, with a proactive and solution-oriented mindset.
- Strong organizational and multitasking skills, with the ability to prioritize and meet deadlines in a fast-paced environment.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Previous experience in an administrative or support role is an asset, but not required.
- Exceptional interpersonal skills and a professional demeanor.
- High school diploma or equivalent; bachelor's degree preferred.
