SENIOR EXECUTIVE ASSISTANT TO MANAGING PARTNER
OKR Financial operates a suite of private funds with a track record of rewarding investors and providing bridge financing, convertible debt, and equity to small and medium sized companies predominately from
the technology industry.
We are seeking a Senior Executive Assistant to provide comprehensive support to our Managing Partner. The ideal candidate will be a detail-oriented professional with exceptional communication skills, the ability to anticipate needs, and a proven track record of supporting senior executives in a fast-paced and dynamic environment. We expect this person to be able to grow into a Chief of Staff position within 6-months; therefore, the role has a 6-month probation period.
Key Responsibilities
Inbox and Calendar Management:
- Proactively manage the MP’s multiple inboxes and calendars, scheduling/rescheduling and coordinating meetings, investor calls, etc. across global time zones.
- Prioritize and anticipate scheduling conflicts, making necessary adjustments to ensure smooth operations and efficient use of MP’s time.
Communication and Correspondence:
- Proactively monitor inboxes and fulfill requests or respond to emails on behalf of the MP, to take various items off the to-do list.
- Draft and prepare correspondence, emails, presentations, and other materials on behalf of the MP.
Information Management:
- Organize and maintain confidential documents and files, primarily digital, across various SharePoint sites used internally.
Travel Coordination:
- Plan and coordinate travel arrangements, including flights, accommodations, ground transportation, and itinerary management.
Project Support:
- Support and assist in special projects and tasks.
Qualifications and Skills
Minimum of 4+ years of experience as an Executive Assistant reporting directly to a Senior Management or C-Suite Executive.
Educational background in in Business Administration or Organizational Management is considered an asset.
Exceptional organizational, multi-tasking, and problem-solving skills. Ability to work independently on day-to-day tasks, as well as collaborate on projects as required.
Requires the ability to effectively juggle and triage competing requests with a strong grasp of priorities and a high degree of confidence.
Experience with Microsoft Office Suite (Teams, SharePoint, Excel, Outlook, Word) as well as Adobe.
