Job Summary
The University of British Columbia, Faculty of Medicine (FoM), Academy of Translational Medicine (ATM) strives to meet the education and training learning needs of the translational medicine ecosystem in BC, including UBC faculty members, trainees and students, BC’s clinicians and bio-innovation industry and life science sector. The Education Coordinator is a key member of the ATM education team. The incumbent will contribute their creativity, project coordination and organizational skills as well as their educational expertise to establish new education programs and coordinate new and existing education programs and growing the education capacity of the ATM. The incumbent coordinates with organizations concerned with translational medicine, population health, and health policy or management education and is responsible for assisting faculty members and staff in developing, coordinating and executing education programs using current as well as new and innovative methods of delivery.
Organizational Status
The Education Coordinator reports to the ATM Operations Director. Some direction is taken from the director and associate director of the ATM. The incumbent works in close alliance with UBC Extended Learning, FoM office personnel, UBC faculty members, external project partners, and other project coordinators and managers.
The Academy of Translational Medicine (ATM) at the University of British Columbia (UBC) is being established by the Faculty of Medicine (FoM). The ATM is a nucleus for translational medical research, education and training, and innovation. The ATM is a strategic imperative for the FoM and has a mandate to collaborate with other units in the FoM, UBC and beyond to accelerate the T0-T4 translational medicine continuum. The ATM will drive impactful medical research to create new knowledge to improve health outcomes and benefit society. The ATM will also be a nucleus for the development of new academic and training programs, creating a cutting-edge ecosystem in which top educators and researchers train the next generation of health innovators.

The Faculty - comprised of approximately 2,200 administrative support, technical/research and management and professional staff, as well approximately 650 full-time academic and 8,500 clinical faculty members - is composed of 19 academic basic science and/or clinical departments, three schools, and 23 research centres and institutes. Together with its University and Health Authority partners, the Faculty delivers innovative programs and conducts research in the areas of health and life sciences. Faculty, staff and trainees are located at university campuses, clinical academic campuses in hospital settings and other regionally based centres across the province.
This position reports directly to the Operations Director at the ATM. The Education Coordinator works closely with ATM leadership and administrative staff, embedded faculty communicators, research faculty members and with external partners and community stakeholders.
Work Performed
  • Identifies feedback mechanism and collects data and feedback from course participants, lecturers and other relevant parties
  • Oversees and coordinates the planning and delivery of all components of the ATM regulatory education program, including educational programming (in-person and online), scheduling, room booking, reporting
  • Implements evaluation strategies and coordinates education project evaluation activities in consultation with the ATM Advisory Councils (Education, Regulatory and Industry), ATM leadership team, FoM evaluation specialists and UBC Extended Learning
  • Works with other UBC departments, faculties and external partners to coordinate all aspects of cross-departmental and/or cross-faculty education initiatives
  • Performs other tasks in keeping with the level, as required.
  • Works with the ATM leadership team to create project plans, proposals, course marketing and learning materials appropriately tailored to learners in the ATM education programs
  • Works with UBC Extended Learning to establish learning modules on ATM and/or FoM’s online learning platform
  • Provides general day-to-day support related to ATM education programming, as required, to the ATM manager and co-directors
  • Develops and disseminates program policies and guidelines with both external and internal parties
  • Maintains updated course inventory and flags relevant information, individuals, and details to the ATM leadership
  • Develops and conducts surveys; perform data preparation, collection, entry and analysis (qualitative and quantitative)
  • Responsible for project management related to the development of the ATM-SBME certificate program
  • Participates in drafting progress and status reports for various stakeholders
  • Oversees and coordinates the planning and delivery of all components of the ATM-SBME certificate program, including educational programming (in-person and online), scheduling, room booking, reporting
  • Responds to inquiries and requests from education programming participants and provides guidance and direction to help access program information
  • Drafts marketing material copy, course emails for students, instructors and guest speakers, and other communications related to course coordination on an ongoing basis
  • Participates in ATM, Faculty, University and other committees and meetings, as required
Consequence of Error/Judgement
The incumbent will be required to show judgment and decision making, which has the potential to impact ATM’s and the Faculty of Medicine’s reputation, product viability, project funding, and the opportunity for future project development.
Exercising poor judgment and/or inappropriate lack of consultation has the potential to adversely affect the viability and validity of research projects, educational programs, projects, grant-based funding or other means necessary to sustain itself.
Supervision Received
The incumbent receives significant guidance and task planning input from the ATM Operations Director and the ATM Associate Director. Works with a high level of independence. Meets weekly with the ATM team and/or ATM senior staff to review performance and portfolio. At a project level, receives-direction from project leads, some of whom may work remotely.
Supervision Given
May coordinate with the work of administrative staff.
Minimum Qualifications
University degree in a relevant discipline. Minimum of two years of related experience, or the equivalent combination of education and experience.

Preferred Qualifications
University degree (Master’s degree preferred) in adult education, regulatory affairs, law, health policy or management, or another area that directly relates to the adult education in health care in Canada. Two years’ experience or the equivalent combination of education and experience. Experience in regulatory science, health sciences, public health, clinical trials management and biomanufacturing preferred. Experience in educational implementation an asset. Training in project management an asset. Formal evaluation training an asset. Related experience in adult education or continuing education programs preferred. Working knowledge of both traditional and online methods of course delivery preferred. Experience with the requirements and procedures of educational research including experience with a variety of research traditions and methodologies preferred. Experience in working with the academic and scientific community an asset. Effective oral and written communication, interpersonal, project management, and organizational skills. Experience working with learning management systems (LMS), particularly Moodle, an asset. Database experience an asset; data analysis software (SPSS or equivalent) an asset. Effective supervisory, organizational, and time management skills. Ability to exercise tact and discretion. High level of proficiency in MS Word, Excel, PowerPoint as well as e-mail and Internet required. Ability to prioritize work, multi-task, and to meet deadlines.
Ability motivate employees and colleagues. Ability to build relationships and work collaboratively with project leadership and partners as well as all others involved in the delivery of educational initiatives. Demonstrated ability to work effectively both in a team environment and independently. Ability to show initiative and good judgment.
