Job Description

Are you an enthusiastic, detail-oriented individual with a passion for health and wellness? Forge Health is looking for a Client Care Specialist to join our vibrant client care team. As a Client Care Specialist, you will be a pivotal part of ensuring that every client's journey with us is exceptional, positive and supportive Your outstanding communication and organizational skills will play a crucial role in coordinating appointments, managing client inquiries, and maintaining a welcoming and friendly atmosphere.

Our dynamic team of practitioners offer a range of therapies including physiotherapy, registered massage therapy, kinesiology, acupuncture, clinical counselling and naturopathic medicine. Roles and Responsibilities:

  • Greet clients warmly and provide a welcoming and supportive atmosphere during their visit.
  • Maintain accurate client records and confidential information in compliance with clinic policies.
  • Collaborate with practitioners to ensure seamless client care and effective communication.
  • Schedule appointments for various services using Jane, our clinic management software.
  • Coordinate and manage the schedules of multiple practitioners to optimize appointment availability.
  • Educate clients about our range of services and help them choose the appropriate therapies based on their needs.
  • Manage incoming phone calls, emails, and inquiries with professionalism, empathy and efficiency.
  • Participate in regular team meetings and training sessions to stay updated on clinic offerings and procedures.
  • Contribute to the overall cleanliness and organization of the clinic environment which includes inventory management.
  • Address client concerns or issues promptly and ensure they are resolved to their satisfaction.
  • Assist clients in completing necessary forms and documentation.
  • Handle billing and payment processes, including insurance claims and processing payments.


Qualifications:

  • Exceptional interpersonal and communication skills, with a strong ability to empathize and connect with clients.
  • Willingness to learn and take feedback, demonstrating a commitment to personal and professional growth.
  • Detail-oriented mindset with the ability to manage tasks efficiently.
  • A passion for holistic wellness and a genuine desire to support clients on their health journey.
  • Strong organizational skills and attention to detail, with the ability to multitask effectively.
  • Previous experience in a customer service or administrative role, preferably in a healthcare or wellness setting is a plus.
  • Proficiency in using computer software and clinic management systems (we use Apple/macOS devices)

HOURS: 32-40 hours

SALARY: $20-$22/hour

LOCATION: Burnaby, BC
