Job Summary
The Associate Business Solutions Analyst plays an important role in the deployment of both the technology in Undergraduate Admissions and the enterprise Student Information System (SIS). The Associate Business Solutions Analyst (BSA) provides technical and operational support for system use and access, to both Undergraduate Admissions as well as the broader community of SIS users. As a representative of Undergraduate Admissions, the Associate Business Solutions Analyst acts as a liaison between stakeholders, both internal and external to the Undergraduate Admissions Office, and UBC IT. The Associate BSA is primarily called upon to provide guidance and troubleshooting support on the use of enterprise SIS and other internal applications, systems testing and quality assurance. In addition to working with members of Faculties and service units to prioritize support and troubleshooting issues, the Associate BSA actively builds and maintains relationships with business units and stakeholders, assisting them in systems design, testing and adoption. The Associate BSA actively participates in IT projects, ensuring appropriate business participation, contributing to and executing systems and user acceptance testing on behalf of Undergraduate Admissions.
Organizational Status
The Associate Business Solutions Analyst, reports to the Associate Registrar, Undergraduate Admissions. The Associate BSA interacts with all units within Enrolment Services and members of academic and service units across the campus, as well as UBC IT, to provide service and systems support. The Associate Business Solutions Analyst may provide support to other members of Enrolment Services during the analysis of complex requests or initiatives. The Associate BSA may also coordinate, provide direction and/or assign work to staff when necessary.
Work Performed
Major Responsibilities
  • Creates testing plan, and conducts functional testing on new developments to the Admission system.
  • Mines student system database and provides ad-hoc reports as needed
  • Investigates bug reports, determines their priority and validity, assigns to a developer and communicates relevant information to UBC IT.
  • Provides data information and requirements to assist UBC IT Reporting department in designing admissions-related reports from UBC and external requests
  • Works collaboratively with UBC IT to identify and resolve online application problems, problems and procedures related to EDI and the electronic transmission of academic documents.
  • Designs, implements and manages survey research projects within Admissions, including responsibility for survey design, testing methodology, ensuring that data integrity is maintained, collecting and analyzing data, and publishing results.
  • Ensures that the development of user documentation for various system components meets Admissions staff needs.
  • In collaboration with UBC IT, creates and implements programming changes to ensure data integrity while maintaining report functionality.
  • Responsible for communicating with Admissions and related units regarding Admission systems changes that impact the functionality of systems or reporting within other units.
  • In collaboration with UBC IT, analyzes and monitors report generation to ensure data integrity.
  • Designs, develops, implements and evaluates end user training.
  • Provides specialized technical advice to Admissions and other departments on the configuration of the Admission applications and table maintenance.
Consequence of Error/Judgement
The Associate BSA is a representative of ES and liaises with ES staff and various members of the university community including UBC IT, faculties and service units. Ineffective support, testing, and troubleshooting of systems can directly impact the recruitment and retention of students at both UBC campuses and service delivery levels by faculty, staff and administrators. These deficiencies could have far reaching consequences such as failing to meet enrollment targets. Without adequate management and monitoring, the integrity of the admissions process may be jeopardized and could result in negative legal and reputational consequences.
Supervision Received
Reports to the Associate Registrar, Undergraduate Admissions. Works independently under general direction and support from the Business Solutions Analyst in the Undergraduate Admissions Office. Exercises initiative and sound judgment in making decisions. Works in collaboration with other senior University staff.
Supervision Given
Provides guidance to both M&P and Clerical staff on project teams.

Preferred Qualifications
Undergraduate degree in a relevant discipline. Minimum of three years experience or the equivalent combination of education and experience. Proven experience working with end users to perform requirements gathering and providing technical system use or access support. Proficiency in standard PC software, including ability work with Excel and other database/spreadsheet applications at an advanced level. Demonstrated ability to learn new software quickly. Strong research, analytical, reporting and presentation skills. Effective oral and written communication skills, including the ability to develop strong working relationships and interact effectively will all levels of personnel. Ability to multi task and prioritize work to meet deadlines. Ability to maintain accuracy and attention to detail. Ability to work both independently and within a team environment.
