Job Description

The Accounts Payable Supervisor oversees and coordinates the daily functions relating to accounts payable including coordinating workflow, invoice processing, and vendor payment in a timely manner. The Supervisor serves as the main contact for all AP inquiries across the company and leads problem resolution. The Supervisor will maintain the integrity of the AP information and system while being responsible for a broad range of review and internal control activities for the entire AP process such as tax reporting, compliance, invoice monitoring and payment approvals. The Supervisor will also recruit, train and develop the Accounts Payable team.

In a typical day, YOU will:

  • Manage contra-accounts as requested from AR
  • Make recommendations and implement process improvements
  • Run AP Aging reports and review on timely basis
  • Record and approve correcting entries
  • Responsible for maintaining offsite storage and destruction
  • Assists with data gathering for AP projects
  • Run PO Dispute reports and contact divisional controllers and buyers for follow-up
  • Audit entries to ensure that proper protocol is being followed
  • Coordinate staff to ensure weekly deadlines are being met
  • Vendor maintenance in CODA (i.e. active or inactive), cancel entries, monitor active pay-proposals
  • Confer with upper management on questionable expenses
  • Manage the monthly companywide rent payments
  • Work directly with majority of multimillion dollar accounts to ensure reconciliations are complete and that payments are made on time (MCFA)
  • Review and verify the validity of the paperwork surrounding Equipment trade-ins and buyouts
  • Educate employees on Toromont policy and procedures
  • Make decisions on special vendor payment terms


Must-haves for this role:

  • Ability to recommend and implement new strategies, policies and procedures
  • Must understand the equipment sale/leasing process
  • Strong working knowledge of AS400, CODA, and DBS
  • Customer centric focus
  • Ability to train and coach others
  • Strong understanding of the entire AP process and general accounting
  • Effective problem solving and analytical skills
  • Bi-lingual – English and French
  • Must be able to meet changing priorities and tight deadlines
  • Results driven with a continuous improvement mindset
  • Ability to interpret and apply departmental policies, procedures and guidelines
  • Post-secondary education and strong general accounting knowledge
