Job Description

The Opportunity

The Accounts Payable Coordinator is responsible for supporting US operations and offices in their accounts payable efforts. This individual is responsible for providing financial and administrative support to ensure effective, efficient, and accurate data. The role is highly visible, interfacing both internally and externally to process and monitor invoices, travel-and-expenses and expenditures within established time limits. The ideal candidate is a positive, polished and articulate professional who possess a high level of attention to detail.

What You’ll Do

  • Process weekly employee expense reimbursements, verification that expenditures are properly approved in accordance with firm guidelines and coded to the proper client/engagement or general ledger account and review receipts as necessary.
  • Assist with preparing and entering invoices, processing payments, maintaining vendor accounts and managing the AP process while identifying best practices and maintaining a strong internal control environment.
  • Manage periodic payment runs, wire transfers and ACH transactions by running aging reports and preparing vendor checks as necessary.
  • Perform month-end close for A/P and run necessary reports.
  • Maintain files on paid and unpaid invoices.
  • Assist team with gathering support for all audits including pulling documentation.
  • Assist other finance members when additional coverage is required, as requested.
  • Perform ad hoc projects as they arise.
  • Provide excellent customer service via email/Zoom/phone.

What We’re Looking For

  • Organized multi-tasker: able to manage multiple projects with set deadlines as time management, pattern recognition, prioritization, diligent attention to detail and judgment are critical in this role.
  • Natural collaborator: desire to help foster and preserve a company culture where all are welcome, included, and given the opportunity to succeed. Collaborative team player, with a track record of maximizing the team as well as individual performance.
  • Self-starter: highly motivated, excellent work ethic and self-assured, not easily thrown, able to think on your feet.
  • Resourceful problem solver: ability to work in ambiguous environments and comfortable with the unknown, as well as work well under pressure, solve problems.
  • A minimum of 3 years’ experience serving in a finance function, ideally within a professional services firm.
  • Familiarity with Microsoft Office Suite, Netsuite and Concur ideal.
  • Strong communicator: Exceptional interpersonal and communication skills (both oral and written). Ability to interact professionally with executive stakeholders and colleagues alike.
