The Account Associate will support SGS Natural Resources services lines in the response to all requests for proposals and quotations. Incumbents must be capable of multi-tasking and working under tight deadlines. The position works closely with internal stakeholders such as Account Executives, Business Directors, Project Managers and Project Coordinators.


Specific Responsibilities


Responsibilities Include, But Are Not Limited To The Following


  • Writes proposals and sets up proposal writing plans for complex proposals, pulling required information, coordinating inputs from other functional units, and providing other support to the Account Executives in developing the response to the RFP.
  • Completes weekly pipeline and activity reports.
  • Account Executive, Business Director, Group Manager, Sales Executive or may on a limited basis responds directly.
  • Issues approved quotations to clients.
  • Timely follow-up on quotations/proposals provided (to be coordinated with Account Executive as relevant)
  • Update and maintain CRM database (and LIMS / CCLASS as required) with complete RFQ/RFP information.
  • Coordinates legal reviews.
  • Request for Quote and Proposals
  • Support for marketing activities on an ad hoc basis.
  • Takes inbound calls and web enquiries through a qualification process and assigns to an
  • Confirms manual quotation calculations.
  • Issues RFQ/RFP alert
  • Reviews all proposals for compliance, spelling, grammar and formatting.
  • Market Analytics
  • Client required documentation (new vendor forms, prequalification forms, etc.)
  • Marketing Support
  • Reports
  • Coordinates handover of secured projects to Project Manager/Project Planner/Project Coordinator.
  • Compile data from the master database, CRM, and other spreadsheets to provide data reports, including but not limited to proposals issued vs. accepted, reason lost/won/withdrawn, experiences lists, pipeline reviews. These are required on an ad hoc basis, as requested by Project Managers, Sales Managers, Account Executives, etc.
  • Use Machines (or MSWord or MS Excel as required by Proposal Author) to generate proposals /quotations.
  • Monthly/Weekly – proposal and project stats for Canada – to be distributed both internally and globally.
  • Gathering and preparation of client information (including CAPA review) and packages to support the development of a response to an RFP.
  • Coordinates the approval process and modifications with the Proposal Author.
  • Management of the proposal process from initial enquiry to award and handover to Project Team.
  • Using various platforms (S&P, Press releases, etc.) collect data on the mining sector (e.g., business information on Junior mining companies, key contacts within these companies, project summaries, market trends, etc.)
  • Credit card transactions for metallurgy and consulting
  • Pipeline monitoring
  • Records and track leads (conversion/rejection) and opportunities in CRM and proposals issued/win/losses.
  • CRM
  • In cross-selling opportunities across Business Lines, the Account Associate shall collaborate with their counterpart in the other Business Lines for the provision or receipt of necessary cross-business line information for the development of the proposal response.
  • New customer setup
  • Update and maintain client contact list from inbound enquiries in CRM.

  • Candidates must be proficient in using various types of computer software (Word, Excel, PowerPoint & Outlook).

  • Candidates must demonstrate excellent verbal and written communication skills.
  • As required, and in asserting that proposals meet all prospective client requirements.
  • Required Skills
  • A college diploma or university degree in Business, Business Administration, Marketing or a related field would be an asset.
  • Specific technical skills:
  • Travel to other SGS locations may be required from time to time.
  • 1 - 3 years of experience in proposals coordination would be an asset
  • High level of integrity and work ethic
  • Candidate must be confident in leading others through the document development process.
  • Proven time management skills and a strong attention to detail.
