Our client, a Canadian multinational energy transportation company with a focus on the transportation, distribution, and generation of energy, has an immediate need for a Senior Administrative Assistant. This is a contract position for seven (7 ) months located in Regina, Saskatchewan


Description


The Area Administrative Assistant provides administrative , technical, and organizational support to the Saskatchewan operations team. This position is responsible for the preparation of correspondence, appointment calendar maintenance, meeting coordination, preparing and assembling materials for meetings, scheduling and booking requirements and preparing presentation materials.


Accountabilities


  • Support employee changes, including on-boarding and off-boarding responsibilities
  • Work with SCM contracts and the area Planner to maintain area contracts.
  • Provide support for field administrative assistants and requested/required.
  • Obtain drivers quarterly mileage for the Region and maintain mileage templates for Human resources and accounts payable.
  • Complete, code, obtain approval for expense reports, petty cash and P-cards to accounting for processing.
  • Work with Operations Sr Financial Advisor on monthly accruals for budget.
  • Work with SAP to create Requests for Change (RFC), work orders, purchase requisitions and purchase orders.
  • Attend area meetings as required, record and distribute meeting notes and action items.
  • Record minutes, action items and maintain the Sask Team Sharepoint site and One Note meeting agendas.
  • Schedule and coordinate appointments, training, meetings, on and off-site meetings, which includes: booking of rooms, equipment, conference calls; circulation of agendas and arranging catering.
  • Support and direct office requirements, including office logistics, building access, security, safety equipment and general coordination of building , equipment, and general office maintenance services.


Required


  • Experience with managing calendars, scheduling and booking meetings.
  • 5 + years of directly related experience supporting a large team and comfortable working in a dynamic and professional office environment.
  • Experience with Preparing and submitting of personal expense reports.
  • Strong interpersonal, communication skills, administrative and organizational skills are required.
  • Experience with recording minutes from meetings
  • Proficiency in the Microsoft suite of products (including SharePoint).
  • High School Diploma or equivalent GED.
  • Experience with Invoice coding and preparation of monthly Budgets
  • Experience with SAP – creating work orders, purchase orders.
  • Experience with SharePoint
