We are seeking a highly organized and proactive Virtual Executive Assistant to provide exceptional administrative support to our executive team. As a Virtual Executive Assistant, you will play a crucial role in ensuring the smooth operation of our company by managing a wide range of administrative tasks and acting as a key point of contact for internal and external stakeholders. This is a remote position, offering flexibility and the opportunity to work from anywhere in Canada.
Responsibilities:
- Collaborate with other members of the administrative team to streamline processes and improve efficiency.
- Conduct research and compile information to assist in decision-making and problem-solving.
- Manage the executive team's calendars, scheduling meetings, appointments, and travel arrangements.
- Act as a liaison between the executive team and internal/external stakeholders, maintaining strong relationships and managing expectations.
- Assist with the planning and execution of company events, conferences, and meetings.
- Handle sensitive and confidential information with the utmost discretion.
- Coordinate and prioritize incoming emails, calls, and other forms of communication on behalf of the executives.
- Help with project management by tracking deadlines, deliverables, and action items.
- Prepare and edit correspondence, presentations, reports, and other documents as needed.
Qualifications:
- Previous experience as an Executive Assistant or in a similar role is preferred.
- Strong interpersonal skills and the ability to build relationships with diverse individuals and teams.
- Exceptional attention to detail and accuracy.
- Ability to work independently and proactively, demonstrating initiative and problem-solving skills.
- Excellent organizational and time management skills, with the ability to prioritize tasks and meet deadlines.
- Proficient in using virtual collaboration tools and software, such as video conferencing platforms, project management tools, and document sharing platforms.
- Tech-savvy and adaptable to new software and technologies.
- Experience in handling sensitive and confidential information with discretion and professionalism.
- Strong communication skills, both written and verbal, with a professional and polished demeanor.
