New fixed-term position to support a research initiative under NSERC CREATE program. Located in the Department of Food Science, Macdonald Campus, McGill University, in Ste-Anne-de-Bellevue. This program will be ongoing for a few years, thus offering possibility of contract renewal.
Position Summary
Under the direction of the Principal Investigator and Program Director for the project One Health Against Pathogens (OHAP) the Program Administrator provides overall administrative support to a network encompassing research academics in several Canadian and international institutions, graduate students, government agencies, and industrial partners.
Primary Responsibilities
Provides day-to-day administrative support and guidance to OHAP, funded through NSERC CREATE. Acts as sole administrative resource person with all aspects of the program. Maintains liaison with all contributors, including partner institutions and affiliated graduate students in the CREATE program. Organizes and administers all activities related to the program and ensures overall smooth functioning. Resolves problems; liaises with appropriate resource persons to obtain information and guidance required to undertake more complex matters and achieve satisfactory resolution.
Monitors funding to ensure adherence with approved budget. Reconciles expenditures and financial transactions. Verifies expense reports and accompanying receipts. Authorizes payments to suppliers; obtains purchase orders from Procurement services. Keeps abreast of NSERC rules; ensures compliance with NSERC CREATE reporting guidelines and maintains interaction with grants administrator at McGill’s OSR. Resolves any discrepancies.
Administers all aspects of the program’s training mission. Receives, organizes, and does preliminary analysis of applications from potential CREATE trainees. Circulates amongst selection committees. Confirms decision and assigned supervisors and mentors to trainees. Facilitates and follows through with allocation of training stipends and scholarships. Creates and maintains electronic mailing lists. Arranges periodic videoconferences and other online training activities.
Schedules meetings (remote and face-to-face). In collaboration with supervisor, compiles agenda, records notes of meetings. Follows up on action items within area of responsibility.
Disseminates information to the trainee cohort concerning deadlines, submission of research reports, evaluations of seminars attended, overall feedback from trainees on their experience in the program, etc. Solicits periodic progress reports from both graduate trainees and their supervisors.
Responsible for arranging scheduling, room booking, travel, publicity for events such as (physical) seminar series and conferences. Composes and formats events announcements.
Creates, maintains, updates, and posts information on the OHAP website. Ensures the OHAP program has a social media presence including maintaining a blog and Twitter account. Responds to general inquiries about OHAP.
Undertakes other duties as assigned by supervisor, such as providing support with PI’s research laboratory (e.g. ordering lab supplies and equipment, scheduling lab meetings and presentations).
Other Qualifying Skills And/or Abilities
Demonstrated experience in research projects and project coordination. Excellent communication, planning and organizational skills. Ability to set priorities, handle several activities concurrently, meet deadlines. Experience with MS office applications and McGill processes in Banner finance, Minerva and MMP. Proficiency with social media and the use of online meeting software applications. Self-motivated, capable of working independently as well as within a team setting. Proven Effective communicator. University degree, an asset.
McGill University is an English-speaking university where most research, teaching and business activities are conducted in the English language, thereby requiring the ability to communicate in English both orally and in writing. In addition, candidates for this role will need to be proficient in spoken French.
