Job Posting Description:
As a PMO Manager, you will play a pivotal role in our IT PMO, with a focus on strategic forecasting, proactive resource management, and project reporting. Reporting to the Director, PMO, you will lead our Senior PMO Analyst team, providing direction, strategic guidance, and support to optimize efficiency. Your responsibilities will encompass capacity management, project reporting, and advancing the maturity of our PMO processes.

About The Role
Strategic Forecasting and Project Reporting: 35%
  • Forecast future resource availability and identify potential resourcing constraints to enable proactive management and planning.
  • Support our intake planning process in collaboration with senior management to align projects with strategic objectives.
  • Develop and share key stakeholder reports and dashboards to communicate project status and provide insights for decision-making.
  • Collaborate with cross-functional stakeholders to understand reporting requirements and ensure consistency and standardization.
  • Support PMO leadership in evolving PMO processes and enhancing the maturity level of the PMO.
  • Maintain and enhance reporting systems and metrics to monitor project performance and measure business impact.
  • Proactively assess resource requirements for each project and ensure optimal allocation based on skills, availability, and workload.
Capacity Planning and Risk Mitigation: 35%
  • Monitor and manage resource capacity, adjusting as needed to ensure efficient project delivery. Identify and address resource constraints and conflicts to ensure project timelines and deliverables are met.
  • Collaborate closely with the Finance team to align project budgets and operational costs.
  • Evaluate resource requirements for each project and ensure appropriate allocation based on skills, availability, and workload.
  • Define and implement strategies to ensure visibility into future resource availability.
  • Collaborate with senior management to maintain an effective intake planning process for projects.
  • Proactively identify and address resource constraints and conflicts to ensure project timelines and deliverables are met.
  • Analyze financial data, including project budgets and forecasts, to identify monetary risks and ensure costs are within assigned budgets.
People Leadership & Collaboration: 20%
  • Ensure team members understand the PMO vision, mandate, and the needs of functional stakeholders.
  • Lead a team of Senior PMO Analysts, providing supervision, guidance, and coaching focused on project visibility, methodologies, and quality.
  • Foster a collaborative and high-performance team culture, empowering team members to deliver best-in-class support.
Advancement of PMO Processes: 10%
  • Provide ongoing support, education, and training to the PMO team.
  • Stay updated on industry standards and best practices which contribute to the development and implementation of project management frameworks, approaches, methodologies, and standards.
  • Support PMO leadership in evolving PMO processes and enhancing the maturity level of the PMO.
Position responsibilities that constitute less than 5% of working time are encompassed as other responsibilities as assigned.
About You
Minimum Required:
  • College/University degree required or 10 years equivalent experience; Bachelor’s degree in business, Project Management, Computer Science or related discipline
  • CAPM, PMP, or equivalent Project Management Certification  
  • Demonstrated experience in influencing others; managing conflict for resolution; solving problems; and negotiating for win-win outcomes; political acuity; Strong interpersonal and communication skills; exposure to Enterprise Architecture and Organizational change Management; Experience in establishing, building and maintaining collaborative relationships with various stakeholders for the purpose of meeting the corporate/department objects 
  • 7+ years of progressive experience in PMO management, including Project Management, Knowledge of the theories, principles and practices around project management, producing high quality executive reports (preferably for technology organizations). Advanced knowledge of and demonstrated experience with data visualization tools. Knowledge or experience with PWA – Project Web Online  
Preferred:
  • Stakeholder Management: Proven ability to build and maintain strong relationships with stakeholders, including senior leadership. Experience in influencing and negotiating with stakeholders to achieve desired outcomes
  • Project Management Knowledge: Strong knowledge of project management methodologies and best practices. Familiarity with project management tools and systems.
  • PWA/Project Online Experience
  • Professional certification in project management (PMP, PRINCE2, etc.).
  • Technical project management skills, including requirements management and traceability, risk/schedule/scope management, and time, budget and cost estimation
  • Analytical Skills: Strong analytical and problem-solving skills. Ability to analyze data, identify trends, and provide insights and recommendations.
  • Communication Skills: Excellent written and verbal communication skills. Ability to effectively communicate complex concepts to stakeholders at all levels.
