We are looking for 1 full-time Property Maintenance Coordinator to join our residential rental team in London at our Berkshire Club location. The Property Maintenance Coordinator will support the daily maintenance demands of service requests related to the residential portfolio including: connecting with tenant, scheduling and coordinating maintenance projects, and maximizing customer and contractor relationships. They will provide excellent customer support to tenants and a high-level integration between all maintenance team members, ensuring the positive resolution to any maintenance issues affecting the safety, attractiveness and competitive impact to our residential rental communities.


  • Skilled at research, data collection and quotation review/comparison.
  • Able to communicate professionally in both written and verbal formats.
  • Ability to identify the problem promptly and work towards a positive resolution.
  • Establish priorities for maintenance requests to resolve outstanding work orders.
  • Knowledge of the Residential Tenancies Act, fire code and building code an asset.
  • Experience in project coordination and aspects of property management.
  • Accurately code all invoices from trades and suppliers and obtain the necessary authorization for payment. Using Docuware system for all invoice processing.
  • Prepare and deliver correspondence to residents regarding day to day in-suite work, move in and move out inspections, scope of work and purchase orders. Assists in contractor scheduling and communication.
  • Exceptional customer service skill and pleasant telephone manner.
  • Engage with clients, peers, and vendors in a professional and collaborative member. Actively participating in team and community initiatives.

  • Issue routine maintenance requests to the Inside & Outside Maintenance teams.
  • Administrative, planning and scheduling role, responsible for the efficient flow of maintenance requests and their resolution. Ensures that maintenance requests, whether via phone, email or in person, are received in a timely manner and entered into Salesforce promptly. Follow up with residents about status of requests or repairs to ensure open communication with tenants.
  • Intermediate knowledge of Word, Excel, Outlook and other related computer programs.
