JOB SUMMARY
An Invoicing Clerk plays a crucial role in ensuring accurate and timely processing of invoices and related paperwork. Your primary responsibilities will involve collaborating with various departments to gather information, resolving discrepancies, and performing administrative tasks to support our invoicing process.

ROLE RESPONSIBILITIES
Invoicing and Paperwork Preparation:
- Prepare and process a high volume of invoices (130-200 per day) accurately and efficiently
- Ensure all required documentation is complete and attached to invoices for proper record-keeping
Cross-Departmental Collaboration:
- Work closely with the sales, finance, and customer service teams to gather necessary information for invoicing
- Coordinate with relevant departments to resolve any discrepancies or issues related to invoices, such as incorrect pricing or billing errors
Freight and Shipping Coordination:
- Call and schedule freight shipments to ensure timely delivery of goods
- Match freight invoices to corresponding shipments for accuracy and completeness
Billing and Communication:
- Process credit requests and bank receipts, ensuring proper documentation and compliance with company policies
- Handle incoming phone calls and respond to emails related to invoicing inquiries and concerns
Document Management:
- Check, match, and file pick tickets and invoices for efficient record-keeping and easy retrieval
Duplicate Charge Verification:
- Thoroughly check and remove any duplicate fuel charges to prevent billing errors
Inventory Support:
- Assist in quarterly physical inventory counts to maintain accurate inventory records
Additional Responsibilities:
- Perform other duties as assigned by the supervisor or management to contribute to the smooth operation of the invoicing department
ROLE QUALIFICATIONS
- Effective communication skills to collaborate with different departments and respond to inquiries professionally
- Strong attention to detail and accuracy in data entry and paperwork handling
- Ability to handle multiple tasks and prioritize workload effectively
- Proficient computer skills, including experience with invoicing software and Microsoft Office applications (Excel, Word, Outlook)
- Excellent organizational and time management abilities to meet daily deadlines
- High school diploma or equivalent qualification
- Previous experience in a clerical or administrative role is a plus but not required

Job Types: Full-time, Permanent
Salary: $18.00-$22.00 per hour
