Job Description

We are seeking a highly skilled and motivated IM and IT Coordinator to join one of our clients. As the IM and IT Coordinator, you will be responsible for providing information management (IM) and information technology (IT) coordination and administrative services to the management and staff of our organization. Under the guidance of the Executive Director, you will play a crucial role in resolving IM and IT issues, providing technical support, and implementing effective solutions.



Roles and Responsibilities

  • Provide expert IT project management and administrative advice, assisting with software installation and updates, training new users, digitizing documents, and addressing IM-related issues.
  • Provide IM technical analysis and assistance to CAPE management and staff, helping with the resolution of membership issues and related tasks.
  • Develop and implement functionalities for staff and members, such as power apps, to enhance operational efficiency.
  • Be available to provide services outside of regular working hours, including evenings and weekends, as needed.
  • Collaborate with the Payroll and Accounting Assistant to ensure timely payment to vendors and proper cost tracking.
  • Carry out IM/IT technical and administrative analysis to track software usage within CAPE and monitor software license renewals.
  • Serve as the focal point for IM and IT management and coordination, acting as the principal advisor to the Executive Director and CAPE management on IM and IT issues.
  • Administer SharePoint for the CAPE staff, ensuring appropriate user roles for security access and collaborating with other departments to establish document storage methodology and guidelines.
  • Perform other duties as assigned.
  • Act as the senior technical expert on the administration of Microsoft Dynamics (MD), managing functionalities for all staff, including events, membership management, and case management.



Qualifications and Skills

  • 2 to 4 years of experience in the Information Management and Information Technology field.
  • Fluency in both English and French, with the ability to train new users in both languages.
  • Extensive knowledge of SharePoint, Microsoft Dynamics (MD), and their applications for operational requirements.
  • Strong organizational, interpersonal, project management, and critical thinking skills.
  • Familiarity with the IM/IT community of unions representing employees in the federal government and across Canada.
  • Familiarity with the vision, mandate, objectives, culture, and governance structure of our organization.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and other relevant software.
  • Thorough understanding of operational procedures within a national office and the respective responsibilities of staff members.



Education

  • College diploma or undergraduate post-secondary degree in Information Management, Information Technology, or a related discipline.



Effort and Working Conditions:

  • Occasional exposure to deadlines and competing demands, requiring effective time management and prioritization skills.
  • Some physical strain may occur when assisting with workstation set-ups or IT issues, but the majority of the work is computer-based.
  • Working conditions are generally comfortable, with minimal environmental discomfort.
