This position provides finance and HR support to the Department of Physical Therapy. The incumbent is a subject matter expert on routine HR and Finance transactions in the department, supporting the day-to-day activities of faculty, staff and students. The position ensures that all transactions processed by the department conform to University policy, guidelines, procedures and government regulations, and provides advice as required.
The Department of Physical Therapy supports a healthy work-life balance, this position is eligible for a hybrid work arrangement.
Organizational Status
The Department of Physical Therapy is a research-intensive unit with award winning faculty conducting state-of-the art healthcare research. The Department also provides the only provincial program for the education of entry-to-practice Physical Therapists, as well as graduate rehabilitation programs. Through rigorous scholarly activity, high standards of instruction and creative opportunities for learning, the Department provides leadership for the profession of Physical Therapy.
Work Performed
HR Processing
  • Processes student and department lab staff appointments. This includes liasing with faculty in a streamlined and organized way to collect the relevant information, providing advice and guidance on best practices, posting job requisitions, processing appointments, reappointments, resignations and leaves of absence and other related business processes.
  • Provides support on HR processes to the department’s HR Manager and Director of Administration as directed.
  • Oversees the department’s payroll submissions for adjunct teaching in departmental educational programs.
  • Maintains Adjunct and Clinical faculty appointments in Workday. This includes processing new appointments, reappointments, resignations and leaves of absence and other related business processes.
  • Troubleshoots payroll-related issues for adjunct professor payments.
  • Processes faculty and staff honorariums and ensures they are line with UBC policy, collective agreements and any relevant external regulations.
  • Ensures HR documentation and backup are filed and stored appropriately on the department’s Team share storage service and in accordance with UBC privacy and data retention policies.
  • Responds to HR enquiries, provides information to faculty and staff on current UBC human resource policies and practices. Troubleshoots issues; solves complex problems, referring unusual issues to the HR Manager.
Finance Processing
  • Responds to all financial enquiries, provides information to faculty and staff on current UBC Finance policies and practices. Troubleshoots issues; solves complex problems, referring unusual issues to the Finance Manager.
  • Prepares student expense reimbursements.
  • Ensures that Finance documentation and backup are filed and stored appropriately on the department’s Team Share storage service and in accordance with UBC privacy and data retention policies.
  • Prepares financial transaction (cash deposits, journal vouchers/accounting adjustments, invoices, expense reports, purchase orders, travel claims and purchasing requisitions) according to University policies and procedures, ensuring proper authorization and appropriate supporting document is provided.
  • Prepares financial reports and reviews ledgers as requested by Finance Manager.
  • Uses knowledge of UBC, Tri-Council policy and accounting practices to make decisions during preparation and reviewing of documents.
  • Assists the Finance Manager in preparing year-end tasks including accruals and adjustments.
  • Performs accurate and timely data entry of financial documents directly into Workday as required.
  • Provides support on Finance processes and projects to the department’s Finance Manager and Director of Administration as requested.
Consequence of Error/Judgement
Work requires judgement, initiative, accuracy in dealing with administrative details, referencing departmental and University policies and procedures. Impact of error is considerable as incumbent would be dealing with sensitive, confidential information. Delayed service or payment results in poor public relations and potential loss of credit with vendors. Failure to apply policy and procedures at all levels could cause serious problems for faculty and department administration. Errors could result in a variety of problems relating to payroll issues, HR data integrity issues and could have a negative on impact on the effectiveness and image of the admin team in the department and unnecessary distress to various individuals.
Supervision Received
Works independently under minimal supervision. Establishes own priorities in accomplishing work, receives instructions only on unusual problems. Performs duties independently, consults with the HR and Finance Manager on new and complex problems. Work is performed in accordance with established procedures and accepted practices.

Minimum Qualifications
High School graduation, plus two year post secondary diploma, plus four years of related experience, or an equivalent combination of education and experience.

Preferred Qualifications
Experience using Workday preferred.
Experience uses MS Excel, Word & Outlook at an intermediate to senior level.
Previous experience in HR and Finance policy application.
Previous accounting experience is as an asset.
Previous experience providing quality customer service in a courteous, patient manner.
Demonstrated ability to work effectively both independently and in a team environment.
Ability to communicate effectively both verbally and in writing.
Ability to uses tact and discretion when discussing problems and eliciting sensitive or confidential information.
Strong attention to detail.
Ability to demonstrate a commitment and openness to learn and engage with topics related to justice, equity, diversity and inclusion.
