Job Description

Specific responsibilities of position

The Flight Administrator will be exposed to sensitive and confidential discussions, information, including access to P&WC’s IP during their duties and as such, they shall agree to sign an NDA.


Main responsibilities and tasks

The Flight Administrator can be assigned on a temporary basis such as during P&WC’s statutory holidays, the absence of P&WC’s personnel or as requested by P&WC’S Assistant Operations Manager (hereinafter defined as “on Duty”).The principal responsibilities of the Flight Administrator, as described in P&WC’sFlight Administration Manual, is to prepare trip itineraries for flight crews while coordinating all the necessary logistics that are associated with a trip. The Flight Administrator must have a strong knowledge of aircraft scheduling parameters while ensuring timely and accurate schedule communication to crew members and maintenance technicians.


Additional responsibilities and/or duties for the Flight Administrator include, but are not limited to:

  • Perform data entry and complete reports (e.g. internal chargeback assignments).
  • Upon request from P&WC’s Flight Administration Dept., is responsible for passenger logistics thus ensuring that passengers’ catering and other requests are taken care of;
  • Ensure that all operational plans comply with CARs 604 and company policies and procedures;
  • Advises P&WC’s Assistant Operations Manager of potential/actual delays and conditions affecting the safety of the flight;
  • When on Duty, monitors the status of all planned flights and flights in progress from the point of origin to the final destination (flight following);
  • Ensures all ground handling, fuel, landing/departure slots, Customs officials, eAPIS (electronic Advance Passenger Information System) and ground transportation are in order before releasing a flight;
  • Responsible for crew logistics, arranging/coordinating crew ground transportation and hotel accommodations;


Qualifications required

  • Minimum of five (5) years of work experience in an administrative or support role, ideally in aviation management or related business;
  • Competence and confidence with the use of a variety of computer/IT programs/platforms;
  • Strong team player.
  • Superior customer service, communication and relationship-building skills;
  • Post-high school training;
  • Self-motivated with the ability to multi-task and work in a fast-paced environment;
  • Fluently bilingual in French and English (written & spoken);
  • Advanced proficiency in MS Office (Outlook, Excel, Word and PowerPoint);
  • Highly organized and detail-oriented;


Additional Information

  • The Flight Administrator support shall be on Duty starting from a P&WC-declared operation IROP until such time as the flights are stopped for the day;
  • P&WC has a dress code policy to which H-18’s personnel shall adhere:
  • The Flight Administrator shall abide by P&WC’s Personal Protective Equipment (PPE) policy on safety shoes & protective eyewear in all industrial areas including the hangar at the main operating base;
  • All duties and responsibilities will be towards P&WC’s Assistant Operations Manager or his delegate.
  • Execute all communication and coordination of ground handling procedures during an irregular operation (IROP) event;
  • P&WC offers its employees a comfortable and relaxed working atmosphere year-round, including the option of adding a business-casual dress to the more formal dress code. Business casual generally means dressing professionally, looking relaxed yet neat and pulled together. A business-casual dress that is not considered appropriate includes running shoes, T-shirts that sometimes have messages printed, tank tops, jeans and/or denim pants and shorts. Business-casual dress should be on the conservative side and is also subject to good judgment and taste.
