Job Description

P3 Veterinary Partners is seeking an experienced Director of Operations - Western Canada, to join our innovative team in a full-time capacity. The Director of Operations will take on significant responsibility in the processes and practices that make our hospitals welcoming, profitable, energizing, and rewarding places to work. The successful candidate will be comfortable with routine travel (50% of time spent in the Hospital) and will serve as a steady, balanced resource focused on:


  • Hospital marketing support
  • KPI management, Best Practices and Operational SOPs
  • Business strategy development and championing its implementation
  • Accreditation, Certification and other Medical SOPs
  • Conflict Resolution
  • Team and Professional development
  • Revenue growth and cost management, particularly in the area of labour and Cost of Sales (COS)
  • Transaction due diligence and hospital onboarding
  • Annual business planning, monthly analysis and reporting, and operationalizing areas for improvement
  • Client Care, Patient Care and Compliance


Pets

  • Oversee, support and nurture the pet experience by ensuring hospitals have the necessary resources, equipment, and team
  • Support our clinics in their daily efforts and work to create long term, meaningful relationships with patients and clients
  • Build doctor and clinical teams that foster engaged dialogue to provide an educated and excellent client experience
  • Ensure medical teams have access to continuing education, mentorship and development opportunities to support continuous improvement and enhance patient care.
  • Oversee and support the implementation and following of AAHA’s standards, Fear Free protocols and other accreditations.


People

  • Assist in developing industry leading compensation, benefits and rewards programs
  • Lead, collaborate and coach Regional Operations Managers with HR scenarios, operations, data analysis/tools and decision making.
  • Collaborate with the Director of Recruitment to identify, attract, onboard, and retain high-quality talent
  • Champion P3’s commitment to being a Great Place to Work… the best place to work in veterinary medicine. Develop plans for growth and improvement based on results of annual surveys and communication to P3 team members
  • Ensure that high performers are recognized and empowered to grow within our group of hospitals
  • Collaborate with Regional Managers and Practice Managers to set individual and clinic non-financial performance goals. These include specific patient care and client experience metrics
  • Ensure clients, team members, and all other key stakeholders experience engaging, motivating, and empowering interactions
  • Drive and support leadership direction throughout P3 Home Office operations team and clinical teams.
  • Support the on-site hospital leadership team (Practice Managers and Medical Directors) with coaching, skill development, and general guidance
  • Promote a positive working culture within P3 and ensuring that P3’s vision and values are mirrored throughout the organization
  • Participate in the creation and oversees the display and maintenance of an organization chart for P3’s Hospitals in Western Canada
  • Foster teamwork, collaboration and manage peer-to-peer and intra-group coaching
  • Support individual team members in their growth and goals through professional development and evaluation of continuing education goals
  • Ensure the delivery of a wonderful client experience – collaborate on standards and measuring compliance unique to each particular hospital


Practice

  • Use available resources to analyze and make effective actionable decisions that impact operations including asset purchases, new hires and rate changes.
  • Ensure that bi-annual inventory counts are performed and that inventory is maintained within approved budgetary levels
  • Support accreditations including AAHA, Fear Free, Hands Free Radiation, and Great Place to Work
  • Ensure that fee schedules are current, revenue category budgets are achieved, and shorts are investigated.
  • Work with the Regional Managers, Medical Directors, and Practice Managers to prioritize equipment, facility and I.T. needs and assist in the development of business plans for large equipment purchases
  • Review hiring and compensation requests to ensure the size of veterinary team aligns with budgets and scheduling capacity
  • Oversee regular strategy & budgeting meetings with the Regional Managers, Practice Managers, & Medical Directors
  • Participate in developing annual budgets and short and long term business plans for hospitals
  • Work to identify revenue opportunities and solve barriers through the detailed review of data management and reporting platforms.
  • Work with Home Office team to ensure that all controls, standards, requirements, rules & regulations are followed & any training needed is conducted (Employment Standards, CVBC, AAHA, WHMIS, OHS, Xray etc)



Qualifications & Experience:

  • In-depth understanding of HR and proven experience leading and innovating practices to create and develop an optimal workforce in support of its strategic priorities and objectives
  • College or university degree in business, animal/veterinary science, healthcare administration, hospital management, human resources, accounting or marketing (BSc, BComm, CPA, RVT) preferred. MBA an asset.
  • Extensive experience in developing strategic and multi-year business plans, resource forecasts, and in managing operational budgets
  • A vision to foster an inclusive, employee-centric culture.
  • Certified Veterinary Practice Management designation an asset
  • A love for animals!
  • Previous history working in a veterinary hospital or supporting veterinary hospital teams is preferred
  • Liase with P3’s Medical Advisory Board, university professors, college instructors, industry program providers and individual instructors to develop and coordinate courses
  • Proven team-oriented communicator with experience in effectively coaching, advising and leading people
  • Experience leading and supporting significant growth
  • Proven ability to build and nurture relationships at all levels
  • Knowledge of veterinary practice management software, such as AVImark, preferred
  • 10 years or more of experience in multi-facility operations with budget management and direct profit and loss responsibility
  • An approach that is progressive, strategic, humble, and achievement oriented
  • Ability to negotiate, influence and communicate in a clear and effective manner
  • Proven experience implementing sustainable solutions and creating impact
