Conference/Event & Marketing Assistant (Fall Co-op/Intern Opportunity – 1 position)
Department: Ancillary Services (Conference Services)
Campus: Trafalgar (may be assigned activities at any Sheridan campus)
Hourly Rate: $17.00 per hour, plus 4% in lieu of vacation
Hours/Week: 24- 30 hours per week

Application Details: Contract - September 11 – December 21, 2023 with evening and weekend work—flexibility will be required.
The Conference/Event & Marketing Assistant will support the Conference Services team, taking the lead in coordinating various aspects of summer conferences, events, films, and camps, and assisting on-site with special events. The position will be based mainly at the Trafalgar campus with some events happening at Mississauga or Brampton locations.
Specific Responsibilities Include:
·Responding to telephone and email event and rental inquiries
·Assisting with developing rental contracts through Caterease booking system
·Supporting logistics and administrative requirements of various rental groups and clients
·Supporting event bar setup and services
·Preparing conference event halls which include completion of room setups, ensuring equipment availability, and assisting clients with last-minute requests (e.g. catering changes, moving tables, chairs, etc.)
·Being the primary on-site lead for specific events in the Conference Centre or on campus
·Participating in the planning and design of marketing for Conference Services packages
·Creating content including captions, short reels/videos, photos, and artwork for social media accounts
·Performing other duties as assigned
*This position is hybrid based on the conference event schedule and will be discussed with Conference Services Manager. Sheridan requires hybrid employees to be on-site at least three days per week as per the 2023 Flexible Work Policy.
Qualifications:
·Strong administrative skills, effective communication, and troubleshooting via phone, email, and in-person.
·Enthusiastic, self-motivated, adaptable to stressful situations, and complete assigned tasks.
·Able to work in a fast-paced environment and effectively handle multiple projects/deadlines.
·Must have a professional manner and appearance when on duty, with a strong sense of responsibility.
·The ability to be diplomatic is essential in this customer service position.
·Experience using Microsoft Office Suite, Outlook and Calendars, and Canva.
·Experience using social media as a marketing tool and an understanding of best practices will be considered an asset.
·A valid driver’s license and access to a reliable vehicle will be considered an asset, but not necessary.
·A/V knowledge and/or Smart Serve Training will be considered an asset.
