REPORTS TO: Manager, Corporate Partnerships


DEPARTMENT: Development


STATUS: Hybrid, Temporary Position (20-week commitment)


HOURS: Part-Time (18.75 Hours/Week)


START DATE: August 21, 2023-January 5, 2024


COMPENSATION: Bi-weekly stipend of $1,186.67

The Opportunity & Role


The Community Ambassador serves as a member of the Development team for a 20-week commitment period. Community Ambassadors are assigned to one function within the Development division; with a team of dedicated and talented United Way staff and volunteers, Community Ambassadors support programs, efforts, and projects that deeply engage donors and volunteers to help grow investments in United Way's work and increase its impact in the region. This is an outstanding career opportunity for an exceptionally motivated individual to experience and influence the daily operations of a dynamic nonprofit institution and leverage a broad range of skills.


The United Way of Massachusetts Bay and Merrimack Valley seeks 1 part-time Community Ambassador, Corporate Partnerships who will embrace the work of United Way of becoming a more diverse and inclusive organization. Building on its core strength of mobilizing the caring power of communities, United Way is undergoing an extensive effort to re-imagine the civic engagement and impact it can have in the region. Top organizational priorities include putting economic justice and racial and ethnic equity at the center of the region's future, leveraging strong nonprofit and government relationships, redesigning corporate partnerships, and leaning into core diversity, equity, and inclusion values to optimize impact.


Reporting to the Manager, Corporate Partnerships, the successful candidate is an individual who is a fast learner, demonstrates creativity, a positive attitude, and can be flexible in the approach and implementation of their work. The position requires strong communication skills (email, phone and virtual platforms), interest in analytics and use of Excel on a consistent basis, and a high degree of comfort when engaging in meetings, presentations, and conversations both in person and via digital platforms (e.g., Zoom, Microsoft Teams). Key Responsibilities


  • Incorporate and practice Community Centric Fundraising principles into work plans and activities (https://communitycentricfundraising.org/) 
  • Assist Partnership Managers on the Corporate Partnerships team by providing support with corporate workplace giving campaigns through the end of year and need administrative support.
  • Attend and participate in community events as necessary to strengthen United Way's presence and strengthen relationships with donor constituent base.  
  • Perform administrative tasks to ensure all corporate data and information is up to date in United Way's database.
  • Perform analytics using Excel to track performance and progress of workplace campaigns and engagement. 


Teamwork, Collaboration & Communication


The Community Ambassador must be able to work successfully across the Development department and other United Way departments to coordinate and communicate support needs/requests. Additionally, they must be able to engage in weekly team meetings, monthly departmental meetings, and organization-sponsored training and team-building events. 


This role requires excellent communication skills given constant interaction with both external and internal stakeholders. The Community Ambassador will be expected to capture and maintain accurate and detailed donor and account records in the database to determine both individual and team progress toward organizational objectives. 


Requirements


  • Excellent communication skills (writing, editing, and verbal).
  • Curious and exhibits a learning orientation, openness to feedback, and confidence in managing up.
  • Strong customer service orientation, attention to detail, and project management experience.
  • Bachelor's degree or comparable related experience in either private or nonprofit sector.
  • Creative and organized with exceptional time management, multi-tasking skills, and follow-up skills to ensure successful and timely completion of projects.
  • Understanding of the importance of administrative tasks and willingness to complete those tasks.

General Accountability
The Department Assistant is accountable for coordination and administrative support functions as well as establishing, maintaining, and overseeing effective administrative processes for strategic initiatives, academics, consistent with SIIT standards and protocols.

The Department Assistant provides administrative functions and works in a fast paced environment with constantly changing demands and priorities. There is a requirement to be discreet in handling sensitive and confidential information, as well as organized, thorough, and conscientious to ensure high quality work. The work has department-wide impact and involves coordination with internal and external stakeholders in managing responsibilities and projects of department-wide scope. This position provides additional support as required.
Administrative Support & Office/Makerspace Coordination
  • Process department and administration expenses
  • Coordinate all logistics of meeting requests including booking rooms, set up and take down of technology requirements, catering and refreshment requirements; as well as travel and accommodation requirements as required
  • Purchase and maintain adequate supply levels as required in department
  • Carry out quality control of data entry
  • Provide back up to front desk reception, while operating a multiline switchboard and transferring calls where appropriate, taking messages as required, as approved by immediate Supervisor
  • Create and maintain efficient and detailed electronic and paper file management processes
  • Extensive knowledge of the functions, purposes and programs of SIIT to answer and direct routine inquires and promptly respond to inquiries as required
  • Provide administrative support for department meetings, committees, and or working groups as assigned, including preparation for technical support; preparation of agenda, minute taking and minute distribution
  • Purchase order coordination: distribution to vendors, creation of purchase orders, appropriate coding, and ensuring established procedures are followed
Department Initiatives
  • Edit and proofread general correspondence; edit presentations and reports as required
  • Contribute to SIIT's strategic effectiveness by participating on internal and external committees, as requested by supervisor
  • Review, prepare and issue documents, tables and reports for supervisor and in support of operations
  • Maintain inventory, other various toolkits and workstations in the MakerLodge
  • Provide support regarding reporting to partners
  • Update, maintain and contribute to the development and maintenance of an effective process and procedure manual
  • Assist the Coordinator with the creation and facilitation of trainings and workshops
  • Preparing promotional materials related to project
  • Provide administrative support on special projects where required
  • Maintain a current list of industry partners
  • Create and maintain databases to support unit outcomes with an advanced understanding of the expected results
Required Qualifications and Experience: Successful completion of a business certificate or diploma, combined with at least two years of relevant administrative office experience. Good understanding of administrative processes and procedures coupled with a proven proficiency with a variety of software programs in the Microsoft Office Suite (particularly Excel, Word and Access) and other data management software; a minimum typing speed of 60 wpm is required. Must be prompt, reliable, and exhibit excellent oral and written communication skills, coupled with a high level confidentiality. An equivalent combination of education and experience may be considered. Knowledge of First Nations cultures and organizations would be an asset. Candidate must have a valid driver's license and reliable transportation as travel may be required. Knowledge of SK Apprenticeship system would be an asset.
