Job brief
We are looking for an Executive Assistant to perform a variety of administrative tasks and also provide a bookkeeping/accounting role to be successful in this role, you should be well-organized, have great time management skills and be able to act without guidance. Ultimately, you will contribute to the efficiency of our business by providing personalized and timely support.
Responsibilities
- Update bookkeeping software.
- Format information for internal and external communication memos, emails, presentations, reports
- Manage executive calendar and set up meetings
- Oversee the performance of other clerical staff
- Run and Pay HST sales tax.
- Gather the necessary information to provide Accountant for filing taxes.
- Organize and maintain the office filing system
- Run payroll and make payroll tax payments.
- Screen and direct phone calls and distribute correspondence
- Create year-end financial reports.
- File any necessary CRA forms.
- Take minutes during meetings
- Submit quarterly payroll reports and payments.
- Evaluate your profit and loss statement.
- Manage information flow in a timely and accurate manner
- Send invoices.
- Review and pay invoices.
- Act as an office manager by keeping up with office supply inventory
- Pay estimated taxes.
- Act as the point of contact for the principal
- Review and reconcile business bank accounts and credit card accounts.
- Prepare monthly or quarterly reports
Requirements and skills
- Excellent Quickbooks knowledge
- Excellent MS Office knowledge
- Familiarity with office gadgets and applications (e.g. e-calendars and copy machines)
- Discretion and confidentiality
- Outstanding organizational and time management skills
- Excellent verbal and written communications skills
- PA diploma or certification
- Work experience as an Executive Assistant, Personal Assistant or similar role
PREFERRED REQUIREMENTS
- Attention to detail and organizational skills is a strong requirement
- Demonstrate interest in and commitment to continuous learning
- Strong computer (MS Office) and data entry skills
- Demonstrate ability to balance multiple priorities
- Excellent listening and verbal communication skills
