Job Summary
Provides wide-ranging administrative support of a complex nature to faculty, staff and students within the Department of Asian Studies. Major responsibilities include: Coordinating complex processes within the Chinese Language Program; providing administrative support to various departmental projects; compiling and managing periodic statistical data and preparing regular reports; responding to confidential telephone, email and in-person enquiries; providing support to other CUPE 2950 staff within the Department. This position is 100% office based at UBC’s Point Grey campus. Some evening and weekend work may be required. This is a one-year term position.
Organizational Status
The Projects Assistant works closely with all staff within the Department, reports directly to the Administrator, and works under the supervision of the Administrative Coordinator. The incumbent interacts and communicates with faculty, graduate and undergraduate students, staff, alumni, visitors, staff from other units across campus, and community stakeholders from a wide range of Asian Canadian communities.
Work Performed
  • Maintains up-to-date information on UBC and departmental policies and procedures.
  • Provides administrative support to ongoing projects within the Department initiated by the Department Head or Administrator.
  • Assists with the scheduling, coordinating and implementing of events within the Department, including workshops, public talks, conferences, meetings, and internal and external events.
  • Coordinates and implements the student hiring process within the Chinese Language Program.
  • Provides administrative support to various departmental committees, including the Sustainability Committee.
  • Provides training, as required, to other staff in regards to updated procedures.
  • Provides front-line assistance to faculty, students and the public.
  • Provides administrative assistance with the development of the web and social media presence for the Chinese Language Program, as well as Program events.
  • Reviews departmental procedures to ensure compliance with related UBC policies and procedures.
  • Develops, maintains and updates information on the Asian Studies AIR site and website
  • Provides support to and back-up coverage for other CUPE 2950 positions within the Department.
  • Updates documents on current working procedures for various processes within the department through consultation with relevant faculty, staff and graduate students within the department.
  • Performs other duties as required.
  • Supervises up to three Work Learn students.
Consequence of Error/Judgement
This position interacts directly with faculty, staff, students, visitors and members of the public on all issues related to the Department of Asian Studies. The incumbent must be able to work independently and be able to recognize when matters must be brought to the attention of the Administrator, Administrative Coordinator and/or Department Head.
Supervision Received
Incumbent is required to work independently with minimal supervision, under the general supervision of and broad work direction received from the Administrative Coordinator and Administrator.
Supervision Given
Formally trains new staff on work procedures, and/or oversees work of students and/or temporary staff.
Minimum Qualifications
High School graduation, plus one year of post-secondary education, plus four years of related experience or an equivalent combination of education and experience. Advanced level Mandarin Chinese Language skills required.

Preferred Qualifications

Attention to detail, and ability to create and accurately maintain record and filing system. Ability to exercise tact, discretion and sensitivity with a wide range of people in an intercultural setting. Collegial. Proficiency with WordPress, SISC, Scientia and WDC required. Word processing, spreadsheet, database, web, scheduling and electronic mail applications skills at an intermediate level required. Demonstrated understanding of and commitment to UBC’s Sustainability plan and policies preferred.
