Duties And Responsibilities


Spa Operations and Maintenance


  • Receives, organizes and restocks program, spa consumables and retail product shipments to support the 3-programs, spa services and the DC Spa boutique.
  • Prepare, maintain and troubleshoot , spa, clinical and cosmetic industry equipment and furniture according to manufactures instructions and safety specifications in 3 dedicated labs including: manicure/massage tables, esthetic facial machines, make up artistry chairs and airbrush equipment, esthetic beds, pedicure foot stations, hydro-collator, hot stone, wax warmers, paraffin heaters and other small equipment used to deliver services and curriculum.
  • Assists with maintaining the spa welcome area and retail boutique by merchandising and restocking shelves as needed.
  • Maintains logs and other documentation, and reports all incident or accident to the Spa manager on a daily and weekly basis.
  • Distribute clean linens for DC Spa public operational hours and the 3-dedicated labs are stocked with the appropriate supplies prior to delivery of services and relevant courses.
  • Coordinate repairs and maintenance with minimal interruption to lab schedules to ensure CTMG, ESMG and MAST program equipment is in good working order.
  • Accountable for monitoring CTMG, ESMG and MAST labs during open lab time for compliance with spa operating procedures and health and safety requirements.
  • Conduct regular facility inspections to identify and address general equipment and maintenance issues, use Health Canada approved disinfecting solutions and protocols to maintain infection prevention and control standards to ensure the DC spa follows IPAC and Public Health requirements. .


Customer Service


  • Provide technical assistance as required to staff and students by demonstrating operation of equipment, explaining spa operating procedures, supplies and solutions used for cleaning and disinfection.
  • Effectively resolve faculty, guest and student complaints and communicate with the Spa Manager regarding issues and resolutions.
  • Stay apprised of current spa customer service practises, service rates, rate changes and all DC Spa promotions.
  • Coordinate and liaise logistics for CTMG, ESMG, and MAST equipment and supply movement from one location to another with DC Facilities to support off-campus placements and events.
  • Conducts laboratory and retail boutique setup, breakdown, and storage of supplies and equipment, in accordance with systems in place prior to, in between classroom instruction, spa treatments and events.
  • Assist Spa Manager with tours for all external stakeholders to promote positive community relations and partnerships.
  • Market and sell services to maximize the student experience, revenues and yield managements business plan objectives.


Administrative


  • Assist with booking and confirming client appointments, answering calls and emails, entering client information into the spa’s database system, collecting payments.
  • Tracks and monitors spa inventory to ensure appropriate levels of products are on hand for delivery of spa client services, curriculum, retail selling.
  • Assist with supply procurement by coordinating purchases for DC Spa inventory,and instructional supply replenishment by sourcing, obtaining competitive quotes prior to creating web requisitions for the spa manager’s approval.
  • Records and processes PO’s and packing slips for all orders pertaining to ESMG, CTMG, MAST programs and the DC Spa.
  • Maintain equipment, facility. SDS and disinfecting solution logs demonstrating due diligence for infection control and prevention and health and safety to ensure the DC Spa facility is compliant with public health standards.
  • Maintain WHMIS labelling requirements for all generic refillable consumable products used throughout the DC Spa facility.
  • Track DC Spa & onsite program linen & consumable usage, coordinate pick up, and delivery times for processing to coincide with the needs of the DC Spa and on campus placement hours.


Other Duties


  • Assists Spa manager and program coordinators with open house, information sessions, social media and special Durham College Spa promotional activities and other duties as assigned.
  • Accountable for coordinating work study student schedules ensuring all job requirements and standards are met directed by the Spa Manager.


Qualifications


  • Exceptional office administration and customer service skills.
  • Possesses an up-to-date CPR, First Aid, and WHMIS certifications.
  • A minimum of 3 years of operational work experience in a spa, or laboratory
  • Knowledge of WHMIS, Public Health standards and Occupational Health and Safety Act requirements, as well as demonstrated experience in the spa, health care or wellness industry.
  • A minimum of a 2-year diploma or equivalent in Esthetician Spa Management or Laboratory Technician.
  • Experience working with industry equipment, facilities, and inventory control, spa or laboratory operating systems and maintenance protocols.


Required Skills


Payband: G; Starting Rate: $30.87; Four Year Rate: $35.77


Required Experience


Hours: 35 hours per week (1) one hour lunch; Mon – Fri (scheduled between 8:00 am – 9:00pm)
