Department Summary


Campus & Community Recreation is the host of multiple wellness activities and events that run throughout the University of Alberta campus. This includes recreational events and programs that are available at North Campus as well as South Campus.


Campus & Community Recreation offers programs and facilities aimed to meet the needs and interests of the broad range of communities that we serve. From group exercise to individualized personal training; from healthy living activities to physical assessments preparing for specific work environments; from recreational sports to elite sport training; and a range of ethnic and cultural dance, Campus & Community Recreation has the breadth and depth of activities to enhance the experiences of students, staff and community members alike

Position Summary


Reporting to the Team Lead, Client Services, the RMS Coordinator is an integral member of the Campus & Community Recreation team. Campus & Community Recreation supports the management of sport and recreation facilities, programs, services and events serving a variety of communities including University of Alberta students, staff, Faculty and general community members. Campus & Community Recreation also supports the facility and service needs of the Faculty of Kinesiology, Sport, and Recreation and the Varsity Athletics programs through provision of dedicated sport and recreation space for teaching, research, training and competition.


This position is global in nature and involves working with all areas including Academics, Athletics, Discover E, the Botanic Gardens, the Steadward Centre and Campus & Community Recreation within the University of Alberta that have or plan to have the recreation management software system as part of their daily operations. It involves overseeing all aspects of the Recreation Management Software system from staff training, troubleshooting and problem solving for staff members and clients, maintaining and inputting data to on-line registrations, memberships, facility bookings, payment processing, accounting and reporting, including present uses and applications, future developments and ongoing upgrades.


Duties


  • Monitor accounts receivables of each Service Unit and communicate all outstanding balances to the according Supervisors, Managers, and Director for follow up
  • Create and run the appropriate queries in the SQL Server for data gathering, report creation, problem solving, etc
  • Assist the Client Services Team Lead in researching, testing and implementing all required steps as it relates to future RMS upgrades and expansion
  • Research, present and if required, assist with implementing new RMS initiatives like remote database administration, new RMS functionalities
  • Ensure that all standard documented financial operating procedures are distributed to all system users. Monitor adherence to the standard financial operating procedures and report anomalies to the Client Services Team Lead
  • Train staff (new and existing full-time, part-time and casual) on RMS (process, procedures, expectations of use) based on the development and creation of appropriate manuals and training aids
  • Create and maintain reports for all service areas utilizing Crystal Reports, Excel, etc
  • Coordinatethe use of the RMS system from a financial/accounting perspective to ensure that all monies taken in by the RMS system are processed and accounted for in a fiscally responsible manner and according to standards set out by the CCR and the University as a whole.
  • Create and maintain all areas of the Activity Registration website as it relates to the RMS System
  • Problem solve and troubleshoot all issues as related to Recreation Management Software System; Connect and work with the U of A IST department and/or our vendor as needed
  • Work with a variety of departments within CCR and the broader university community (such as services, academics, athletics, IT, external stakeholders) to identify and implement RMS training needs.
  • Create and maintain appropriate general and location specific RMS manuals, training aids and RMS resources


Minimum Qualifications


  • University of Alberta Workplace Harassment and Violence Prevention training will be required upon employment;
  • Able to work independently as well as in a team setting;
  • Extensive experience with Intelli or a similar type of recreation management software system is a requirement
  • Environmental Health and Safety Supervisory Development training will be required upon employment;
  • Experience in staff training and curriculum/module development is required
  • Strong written and verbal communication skills necessary;
  • Undergraduate degree in kinesiology, physical education, recreation; Education/Business or a related field required;
  • Thorough understanding of databases and database integrity procedures is required
  • Standard First Aid (within 3 years) and CPR C Certification (within 1 year) required;
  • Police Information Check and Vulnerable Sector Check required;
  • Minimum 2 years experience in administering staff training programs and recreation administration where a recreation management software system has been an integral component.


Preferred Qualifications


  • Experience with Cascade and/or other website editing/design software is an asset
  • Experience with Crystal Reports and SQL are a definite asset
  • Experience in troubleshooting and problem solving as it relates to computer related issues
  • Experience with PeopleSoft (financial) a definite asset
