The Ontario Institute for Cancer Research (OICR) is seeking a professional and reliable Receptionist to support the day-to-day operations of Reception. Strong interpersonal, organizational and customer service skills are essential for success in this role.

The Responsibilities Include
  • Oversee drop-offs and notify applicable departments.
  • Conduct USB security scanning.
  • Provide daily Reception coverage.
  • Maintain and organize all shared common spaces including kitchens, boardrooms, copy stations and conduct equipment checks in boardrooms to ensure all IT peripherals (keyboards, mice, projectors, etc.) are working.
  • Manage visitor sign in/out system.
  • Other administrative duties, as assigned.
  • PPE distribution and storage in conjunction with Health and Safety protocols.
  • Assist with Facility Access Card processes.
  • Oversee budget, inventory and distribution of coffee supplies.
  • Process all mail, packages, and distribution.
  • Provide general administrative support.
  • Aid visitors and staff with general enquiries (Wi-Fi, washrooms, office layout, supplies, etc.).
  • Code corporate invoices for processing and send documentation to Finance department.
  • Oversee the inventory of general office supplies including paper, printer toners, kitchen supplies and other accessories. Orders to be submitted on as needed basis.
Qualifications:
  • Excellent organizational and problem-solving skills; quality and detail oriented.
  • Strong internal and external relationship management skills, ability to interact and work professionally and effectively with staff and vendors.
  • Experience in reception/administration preferred.
  • A background in IT support is an asset.
  • Advanced proficiency in computer software, e.g., MS Word and Outlook, Excel.
  • Adaptability, flexibility, diplomacy and tact.
  • Post-secondary education is an asset.
  • Familiar with computer peripherals such as printers, mice, keyboards.
  • Familiar with using web browser-based applications for timekeeping, and data entry.
  • Demonstrates exemplary customer service skills and good judgment.
  • Excellent verbal and written communication skills.
  • Ability to work well under pressure, prioritize and multi-task within a fast-paced environment.
  • Self-motivation and initiative.
