Job Description

The ideal candidate is a detail-oriented team player who will be the first point of contact for visitors at the office, greeting them in a polite and well-spoken manner. You will also be assigned duties as required (i.e. organization of inbound and outbound mail, administrative work, and general clerical support).

Responsibilities

  • Updating and improving office organization systems;
  • Any and all other reception duties as instructed.
  • Preparing client file materials including opening files, updating client information, maintaining a diary system; responding to general inquiries, and filing;
  • Answering emails and telephone inquiries;
  • Providing excellent customer service and maintaining client relations;
  • Calendar organization and time management for lawyers;
  • Maintaining office supplies and re-ordering as required; and
  • Opening and distributing regular and electronic incoming mail and other material and co-ordinate the flow of information internally and with other departments or organizations;
  • Typing and proof-reading correspondence and documents;


Qualifications

  • Ability to prioritize and handle a high volume of work;
  • Readily willing to take on new tasks.
  • Friendly and customer service-oriented with the ability to build and maintain relationships;
  • Minimum 1+ years of experience in a receptionist role;
  • Proficient computer skills and knowledge of Microsoft Office, Outlook and Excel;
  • Meticulously organized; and
  • Excellent command of the English language;
  • Attention to detail, self-motivated and ability to autonomously manage files;
