Roles and Responsibilities summary:
This position holds responsibility for day-to-day data entry tasks, invoicing tasks, data review, and a wide array of administrative duties, including assisting with ISO 9001:2015 compliance and reporting. The role is essential to the daily operation and smooth running of the company.
Duties and responsibilities include but are not limited to:
- Facilities support and coordination with building management for the office
- Greet clients, filing physical and digital files, preparing coffee
- Assist with receivables collections
- Preparing mailings, labels, and associated document related tasks
- Assist with ISO 9001:2015 documenting non-conformities and corrective actions
- Keeping the break room and conference room tidy, organized, and ready for use
- Other office administrative and accounting-related duties, as required
- Entering supplier invoices (payables) into the ERP system. (Spire)
- Assisting in organizing/scheduling/coordinating meetings and social events
- Communicate with vendors and clients on billing matters upon request
- Review and sending of customer invoices on a daily basis
- Prepare and process purchase orders upon request
- Communicate with vendors regarding order status
Skills, Experience, and other requirements:
- Solid understanding of Windows PC’s, proficient and resourceful using various software, fast/accurate typing.
- Excellent verbal and written communication skills in French and English are required
- Ability to maintain confidentiality
- Proficiency in MS Office suite, Word, Excel, Outlook. (Ability to modify word documents and PDF’s. Ability to create very basic excel formulas)
- Experience with ISO quality management systems an asset
- High attention to detail and good organizational skills
- Degree, diploma, and/or at least 2 years of equivalent or relevant working experience
- Able to manage priorities and multitask
- Knowledge of Spire/Business Vision or similar accounting software an asset
- Ability to maintain a positive attitude and work in a team-oriented manner
Schedule:
- Monday to Friday(weekends off)
- 8:30am to 1:30pm (5 hours/day, total of 25 hours/week)
- Part-Time, Temporary position
- Work from home not available, in office presence is a requirement of the job.
Job Type: Part-time
Part-time hours: 25 per week
Salary: $18.00-$21.00 per hour
