Job Description
Primary Objective


The primary objective of the Leagues Manager is to oversee the administration of world-class leagues at CSMI managed facilities, including direct management of the Ottawa Senators Adult Hockey League and the Ottawa Senators Youth 3 on 3 and 4 on 4 Leagues to the highest possible standard; reflective of the brand. This position is responsible for overseeing a team of program coordinators who plan, market, and execute these leagues. The Leagues Manager is also responsible for managing the registration and payment process for all tournaments and leagues run at CSMI managed facilities and to ensure all related clients receive timely, accurate and awe-inspiring levels of customer service by e-mail, on the phone and in-person. They are responsible for responding to customer inquiries regarding CSMI programs and events by working highly efficiently and delegating effectively to the team of Program Coordinators who they manage.


This position is based primarily out of the Bell Sensplex, however will involve regular time spent at other CSMI-managed facilities (including the Cavanagh Sensplex & Richcraft Sensplex).


Ongoing Responsibilities


  • Collection & processing of payments for leagues
  • Assist with the marketing of other CSMI leagues
  • Manage a team of staff who field incoming inquiries to Sensplex leagues information phone lines and e-mail in-boxes and ensure that all clients receive accurate and complete responses in a timely fashion (same day or within 1 business day)
  • Dealing with difficult people on a regular basis
  • Content management for league websites to ensure all information is kept accurate and up to date
  • Manage (coach, evaluate and direct the activities of) Program Coordinators who share in the administration and execution of all types of CSMI programs
  • Responsible for following policies & procedures set out by the Director, Hockey Programs and the Senators Sports & Entertainment group of companies, and for ensuring all part-time staff do the same
  • Dealing with players, coaches, and parents on a regular basis and as specific issues arise and ensuring that all issues are resolved in a timely fashion and to the highest possible level of client satisfaction
  • Ensure thorough screening of all leagues, to ensure all players are registered for the appropriate league
  • Maintain accurate and real-time registration databases for all CSMI-run leagues, (using MS Excel, ActiveNet & various web-based registration programs)
  • Manage all aspects of the Ottawa Senators Adult Hockey Leagues at CSMI facilities
  • Other duties as requested by the Senior Manager, Program Operations and Director, Hockey Programs and Revenues
  • Prepare all materials in advance for distribution to team representatives or individuals during leagues
  • Manage all aspects of the Ottawa Senators Youth Spring & Summer Leagues at CSMI facilities, including planning, budgeting, marketing, and execution (maintains P & L ownership for these leagues)
  • Preparation and maintenance of group lists, as well as management of other administrative tasks for all leagues


Requirements


  • Previous experience managing a group of staff to achieve excellent results
  • Minimum of 3 years’ experience in program/event planning & management
  • Must have clear police record check, own means of transportation & valid driver’s license
  • Must possess exceptional organizational skills and have used proven organizational techniques
  • University degree or college diploma (preferably in a sports, business, or communications-related field)
  • Must be available to work some evenings, weekends and holidays as required
  • Existing knowledgeable of the game of hockey is an asset, including a working knowledge of minor hockey structure (experience as a hockey player, hockey coach, or hockey referee an asset)
  • Must be a team player with a very strong work ethic
  • Demonstrated ability to multi-task and perform quickly and efficiently in a high pressure environment
  • Minimum of 3 years’ experience servicing customers in a fast-paced live event setting
  • Ability to work under pressure situations and deal with difficult people on a regular basis
  • Excellent written and oral communication skills
  • Must be proficient with MS Office applications (Excel, Word, Outlook) with special emphasis on MS Excel
  • Bilingualism an asset
  • Ability to meet tight deadlines
